Job Summary

Transwestern Real Estate Services is seeking a highly skilled Assistant Property Manager to join our team. As an Assistant Property Manager, you will assist the Property Manager in managing a property or group of properties, ensuring seamless day-to-day operations and exceptional customer service.

Key Responsibilities
  • Assist the Property Manager in managing a property or group of properties, including budget development, monthly operating reports, and client deliverables.
  • Support the Property Manager with lease administration duties, including lease abstracting and administration.
  • Supervise vendors and maintenance staff, ensuring timely completion of tasks and high-quality results.
  • Perform regular property inspections and provide recommendations for alterations, maintenance, and reconditioning.
  • Assist the Property Manager in preparing monthly reports for owners, including variance reports, executive summaries, and aging reports.
  • Coordinate tenant improvement and capital projects, ensuring timely completion and within budget.
  • Respond to tenant needs, ensuring prompt resolution of issues and exceptional customer service.
  • Represent the Property Manager and communicate clearly and accurately, in person, over the phone, and in writing.
  • Initiate and execute day-to-day operational procedures, including service agreements and construction agreements.
  • Track and maintain Energy Star benchmarking data, ensuring current and accurate information.
  • Conduct tenant training meetings to improve building efficiencies and maintain ongoing tenant contact/relations programs.
  • Resolve problems to the mutual benefit of the tenant and the owner, ensuring timely and effective resolution.
  • Administer all leases, ensuring compliance with provisions/agreements.
  • Determine and execute timely escalations, reconciliations, and rent collections.
  • Maintain current certificates of insurance for all tenants, ensuring compliance with lease requirements.
  • Show space to prospective tenants, requiring a real estate license where required by state.
  • Communicate clearly and timely with project accounting personnel, using and/or providing the appropriate documentation.
  • Prepare monthly ownership reporting, including variance reports, executive summaries, and aging reports.
  • Manage and coordinate day-to-day financial transactions, including accounts receivables, accounts payable, collection of rents and charges.
  • Maintain compliance with all TW personnel policies and procedures.
Requirements
  • Bachelor's degree in Business Management, Finance, Accounting, or a Human Resource Management related discipline.
  • RPA designation in progress preferred.
  • Possess Real Estate License where required by state law.
  • Minimum 3 years of property management experience, preferably in commercial/Class A Office management.
  • Intermediate to advanced MS 365 Word, Excel, and Outlook proficiencies.
  • Angus and accounting software such as MRI, Yard, or CTI preferred proficiencies.
  • Ability to keep information strictly confidential.
  • Strong desire to succeed in an entrepreneurial environment.
  • Ability to handle multiple projects, changing priorities, and a continually heavy workload.
  • Exceptional oral and written communication skills.
  • Strong customer service orientation.
