We are currently in search of an Administrative Operations Specialist who will report directly to the Office Administrator. This position presents a unique opportunity to join a well-respected organization that values a collaborative work environment, offering a blend of on-site responsibilities and some remote work flexibility.

In this role, you will play a vital part in supporting attorneys and staff within an office of around 180 professionals. You will collaborate with various departments, including facilities, IT, recruitment, security, finance, and marketing, to ensure smooth daily operations.

Key Responsibilities:

  • Coordinate maintenance schedules and address facilities-related concerns
  • Assist employees with inquiries and direct them to appropriate departments
  • Organize internal employee events and manage related expenses
  • Lead the Community Service Committee for the New York office
  • Oversee the office snack program
  • Foster employee engagement and enhance office culture
  • Propose improvements in operational processes and documentation
  • Support onboarding and offboarding activities
  • Manage invoices and the monthly credit card statements
  • Update and maintain internal records and databases
  • Coordinate catering services for meetings
  • Manage off-site storage solutions and office communications
  • Provide backup support at the reception desk
  • Assist with various projects as needed

Qualifications:

  • Minimum of 3 years of office experience
  • Bachelor's degree required
  • Team-oriented with a positive demeanor
  • Ability to adapt to shifting priorities
  • Exceptional communication skills
  • Prompt responsiveness to emails
  • Strong interpersonal and time management abilities
  • Detail-oriented and proactive approach
  • Proficient in Microsoft Office Suite and document management systems
  • Experience in event planning is advantageous
  • Facilities maintenance experience is preferred

This position is primarily based in New York. Compensation will be determined based on qualifications, experience, education, and certifications, with an anticipated pay range of $43.68 per hour. Additional benefits include overtime pay and a year-end merit bonus based on performance.
