Position Overview

The Installation Scheduling Specialist is responsible for ensuring seamless operations by coordinating installation schedules, delivering exceptional customer service, and maintaining precise records. This position demands exceptional organizational skills, a commitment to supporting a skilled team of installers, and proficiency with digital tools. Ideal candidates will enjoy assisting a team, engaging with clients, managing multiple tasks simultaneously, and fostering a constructive team atmosphere.

Key Job Responsibilities

Job Coordination

  • Organize installation schedules utilizing digital platforms, including CRM systems and proprietary software, while considering factors such as client preferences, installer expertise, site requirements, and material availability.
  • Ensure the appropriate materials are on hand for each project by effectively managing inventory, collaborating with other departments, and placing timely orders with suppliers.
  • Comprehend site access protocols and arrange necessary equipment such as lifts for installation.
  • In collaboration with the corporate contracts and insurance team, prepare and submit pre-installation documentation, including safety and access plans.

Client Engagement

  • Collaborate with the Operations Assistant to guarantee prompt and courteous responses to customer inquiries via phone and email.
  • Assist in updating project information throughout the installation process.

Financial Oversight

  • Maintain accurate records using digital tools such as G-suite.
  • Support inventory management to ensure accurate tracking of material usage and timely monthly audits.
  • Assist in managing company vehicles, ensuring regular maintenance and conducting cleanliness and mileage assessments.

Collaborative Efforts

  • Exhibit flexibility and seek opportunities to assist colleagues during peak workloads, ensuring high productivity and customer satisfaction by stepping into roles as needed.

Job Requirements

  • Bachelor's Degree in a relevant field or equivalent experience.
  • Strong customer service orientation.
  • Ability to effectively manage multiple concurrent tasks.
  • Dedication to supporting the team throughout the project lifecycle.
  • Excellent written and verbal communication skills.
  • Familiarity with digital tools such as G-suite.
  • Knowledge of window film is advantageous, though training will be provided.
  • Experience with CRM systems is a plus.
