Overview:

The Patient Services Specialist (PSS) plays a vital role in delivering exceptional customer service by welcoming patients, gathering their information and payments, scheduling appointments, and managing medical records. Responsibilities may vary based on the office layout and size, ensuring flexibility and adaptability in the role.

Key Responsibilities:

1. Develop and maintain patient records within the Electronic Medical Record (EMR) and billing systems for new and hospital consultation patients.
2. Accurately relay hospital consultation details to the designated physician.
3. Manage all physician requests related to scheduling changes and patient appointments, ensuring adherence to physician preferences regarding patient loads and appointment gaps.
4. Collaborate with physicians to assign new patients to the appropriate clinician per office guidelines.
5. Ensure timely and accurate patient check-ins according to clinic policies, including payment collection and demographic verification.
6. Prepare and distribute reports in compliance with organizational protocols to guarantee timely patient care.
7. Schedule patient appointments, including follow-ups and referrals, in accordance with clinic policies.
8. Prepare daily financial deposits and maintain cash drawer accuracy.
9. Manage incoming faxes and accurately enter information into patient charts as necessary.
10. Communicate with patients regarding appointment reminders and rescheduling as needed.

Required Qualifications:

Education: High School Diploma; Associate's degree preferred.

Experience:
  • Minimum of one year in a healthcare environment, preferably in a physician's office.
  • Strong focus on patient/customer service.
  • Attention to detail with the ability to multitask effectively.
  • Excellent interpersonal and communication skills.

Work Schedule:
Standard work hours are Monday to Friday, with occasional overtime and weekend shifts as required.
