Key Responsibilities

  • Invoice Preparation: Generate and prepare invoices that accurately reflect pricing, discounts, and terms based on customer purchase orders or contracts.
  • Relationship Management: Develop and maintain robust relationships with independent sales representatives, offering support and assistance to enhance sales and revenue.
  • Billing System Proficiency: Acquire a comprehensive understanding of the billing system, including order types and invoicing, to ensure precise billing, particularly for Cooperative Purchasing contract orders.
  • Accounts Receivable Oversight: Establish credit for new clients, monitor accounts receivable aging reports, and ensure timely payments from customers. Apply received payments to customer accounts accurately.
  • Discrepancy Resolution: Investigate and resolve billing discrepancies or disputes efficiently, collaborating with internal teams and clients as necessary.
  • Debt Management: Monitor and escalate potential bad debt accounts as needed. File appropriate liens, bonds, and bankruptcy claims to safeguard the interests of Landscape Structures.
  • Contract Review: Review contracts, bids, and RFPs to ensure compliance and mitigate insurance or contract risks.
  • Commission Processing: Ensure accurate and timely processing of sales commissions and rebates owed to sales representatives and corporate partners.
  • Continuous Improvement: Contribute to a culture of continuous improvement by enhancing and streamlining billing and receivables processes, reporting, and controls.
  • Additional Duties: Handle various accounting responsibilities and special projects as assigned.

  • Preferred Experience:
    • Familiarity with Microsoft Dynamics 365 or other ERP systems.
    • Understanding of Cooperative Purchasing contracts for equipment and services.
    • Experience in reviewing bids, bonds, and contracts to identify and mitigate risks.
