The Coordinator will collaborate closely with the Director of Events, Executive Chef, and Beverage Director to ensure seamless coordination of food, beverage, and service for all club events.
Key Responsibilities:
- Assist the Director of Events in promoting and selling private functions, ensuring thorough communication with clients to understand their needs and exceed expectations.
- Oversee event execution according to the banquet event order, managing setup, vendor coordination, guest reception, staff communication, and event breakdown.
- Support event-related tasks, including staff assignments, scheduling, permit requests, and managing financial transactions.
- Act as a liaison with kitchen staff to guarantee timely and accurate food service.
- Lead pre-event meetings and engage in the service of events to ensure successful outcomes.
- Prepare banquet event order packets and participate in weekly meetings to confirm all event details.
- Collect and maintain signed contracts and event questionnaires from clients.
- Perform additional duties as assigned by the Director of Events.
Essential Skills and Attributes:

- Holds experience in sales and catering operations or related fields.
- Possesses practical knowledge of food service and etiquette, particularly for private events.
Technical Proficiencies:
- Willingness to learn and effectively utilize catering software and proficiency in Microsoft Office Suite.
- Basic understanding of audio-visual equipment is preferred.
- A Bachelor’s degree and/or a minimum of three years of experience in private clubs or restaurants is preferred.
Physical Requirements and Work Environment:
This position requires frequent standing, walking, and communication. The individual must be able to handle objects and tools, and may occasionally need to lift up to 50 pounds. The work environment is primarily indoors, with moderate to loud noise levels during events. Availability for extended hours, evenings, and occasional weekends is necessary.
