Document Control Specialist

We are seeking an experienced and detail-oriented Document Control Specialist to support our dynamic team at Spencer Ogden. The purpose of this job posting is to identify highly skilled candidates for this role, as we anticipate future opportunities in document control.

Key Responsibilities:

  • Manage and maintain project documents, ensuring accurate and organized filing systems are in place for easy retrieval and compliance.
  • Ensure that all project documentation, including drawings, specifications, contracts, and reports, are accurately controlled and distributed to relevant stakeholders.
  • Collaborate closely with project managers, engineering teams, and other personnel to ensure timely submission and review of documentation.
  • Track and monitor document revisions, approvals, and distribution, maintaining the integrity of document control processes and standards.
  • Establish and enforce procedures for document control, ensuring that protocols are adhered to throughout the project lifecycle.
  • Prepare reports on document status, ensuring that all project documentation is up-to-date and aligned with project milestones and objectives.
  • Support audit processes by providing accurate documentation and records for project compliance and regulatory requirements.
  • Ensure all project-related documents are stored securely and in compliance with legal and regulatory requirements.

Qualifications:

  • Bachelor's degree in Document Management, Business Administration, or a related field.
  • 5+ years of experience in document control, preferably in capital projects, construction, or engineering environments.
  • Proficiency in document control software and tools such as Aconex, SharePoint, or other document management systems.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent communication and collaboration skills to effectively work with multiple teams and departments.
  • Familiarity with document control standards and practices in industrial settings.
  • Ability to work under pressure, manage competing priorities, and meet deadlines in a fast-paced project environment.
  • Knowledge of legal, regulatory, and compliance requirements related to document control is a plus.
