Job Description

We are seeking a highly skilled and organized Executive Support/Coordinator to join our close-knit team. The ideal candidate will have 3+ years of experience supporting senior executives and/or managing an office, with a strong working knowledge of MS Office Suite and excellent communication and interpersonal skills.

Key Responsibilities
  • Office Management: Oversee day-to-day functions of the office, including ordering and stocking supplies, scanning, notarizing documents, shipping packages, and submitting building maintenance requests.
  • Meeting Facilitation: Assist in scheduling meetings based on attendee availability, send calendar invites, and coordinate logistics.
  • Travel Arrangements: Book flights, lodging, and ground transportation for internal and external parties.
  • Calendar Management: Manage the CIO and other executive calendars, scheduling meetings, conference calls, and appointments across time zones.
  • Communication and Correspondence: Act as point of contact between executives, employees, investors, and other external parties, overseeing general inboxes and voicemail, and forwarding to appropriate parties.
  • Event Planning: Organize team building events and office celebrations, coordinating logistics, including reservations, catering, and calendar invites.
  • Human Resources and Compliance: Post open roles, filter applications, arrange interviews, and onboard new hires, administering cybersecurity training.
  • Financial Support: Assist the CFO with certain financial activities, including receipt tracking, expense reimbursement, and invoice processing.
  • Data Management: Update and document communication and meeting activity within the firm's Client Relationship Management (CRM) tool.
  • Personal Assistance: Provide personal support to the CIO as needed, scheduling appointments, making reservations, running errands, and ad hoc tasks.
Requirements
  • Bachelor's degree
  • 3+ years of experience supporting executive level management, preferably within the private equity or financial industry
  • Strong working knowledge of MS Office Suite, especially Excel, Word, and Outlook
  • Superior communication (oral and written) and interpersonal skills
  • High sense of professionalism, urgency, accountability, attention to detail, prioritization skills, and organization
  • Ability to maintain a high degree of confidentiality and handle private information with utmost discretion
  • Ability to work independently, proactively, and be a self-starter
  • Ability to lift 50 or more pounds
  • Ability to work in Uptown Dallas office
  • Licensed driver with reliable transportation
  • Texas notary public preferred
  • US work authorization
