Administrative Support Specialist

Position Summary
The role involves performing skilled administrative functions within a legal environment, including the processing of legal documents, data entry, and record management. This position operates under the guidance of the Clerk of Court or Chief Clerk.
Key Responsibilities
- Welcomes visitors and responds to inquiries regarding court matters, directing them to the appropriate personnel as necessary.
- Handles citizen inquiries and service requests, ensuring resolution in accordance with established policies.
- Prepares various documents such as correspondence, legal orders, and reports, ensuring adherence to formatting standards.
- Assists legal professionals and clerical staff with document processing and record maintenance.
- Records and processes legal documents, including deeds and judgments, while managing associated fees and taxes.
- Enters and verifies data in computer systems, ensuring accuracy and confidentiality of sensitive information.
- Facilitates the processing of concealed handgun and passport applications, verifying necessary information.
- Manages jury pool information and assists in the jury selection process.
- Maintains and indexes records related to military discharge certificates.
- Processes marriage licenses and related documentation.
- Handles mail and supply distribution, ensuring efficient operations.
- Operates standard office equipment and performs routine maintenance as needed.
Required Skills and Qualifications
Applicants should possess a high school diploma or GED, along with relevant experience in administrative support. A general understanding of court procedures and legal terminology is preferred. Bilingual candidates, particularly in English and Spanish, are encouraged to apply.
Physical Demands
This position requires the ability to lift and carry up to 10 pounds regularly, with occasional lifting of up to 25 pounds. Candidates should be able to engage in various physical activities, including walking, sitting, and using hands for tasks.
Special Considerations
Successful candidates must obtain a Public Notary certification within three months of employment and may be subject to background checks.
