Position Overview:

Under the general oversight of the Court Administrator or their designated representative, the Deputy Court Clerk I is responsible for a diverse range of clerical, cashiering, collection, courtroom, and administrative support functions within the Municipal Court. This role requires adherence to established policies and procedures in accordance with applicable statutes, regulations, and local ordinances.

Key Responsibilities:

  1. Uphold a high standard of professionalism and confidentiality in all court-related matters.
  2. Execute all court operations and functions within the court's case management system, which includes data entry, verification of information from law enforcement, courtroom management, collections, and cashiering duties.
  3. Import and scan various legal documents, including traffic and parking citations, criminal misdemeanor affidavits, civil domestic abuse filings, and environmental code violations into the case management system.
  4. Conduct research within the case management or records management systems to retrieve necessary court case information.
  5. Electronically file and retrieve court cases, dockets, and affidavits as required.
  6. Notify defendants and their legal representatives of upcoming court appearances and prepare necessary subpoenas.
  7. Prepare court dockets in advance of court sessions, schedule court events, and manage dockets during court proceedings.
  8. Assist the judge in the courtroom and coordinate activities, including attendance at jail arraignments.
  9. Perform duties related to civil domestic violence petitions and environmental code violations as needed.
  10. Handle cashiering, collections, warrants, jail, or courtroom clerk responsibilities as assigned.
  11. Open and verify incoming mail; scan relevant documents into the appropriate case files; record checks, cash, money orders, and other court-related documents.
  12. Respond promptly to record requests, including certifying documents as necessary.
  13. Answer telephone inquiries and provide information to the public regarding Municipal Court operations and policies.
  14. Receive and route court documents between judicial chambers, the prosecutor's office, and law enforcement to ensure accurate filing.
  15. Perform additional duties as assigned.

Qualifications:

The ideal candidate must possess the necessary knowledge, skills, and abilities to effectively perform the essential functions of this role. This includes:

  • Ability to quickly learn and adapt to the court's computer software systems.
  • Maintain a high degree of accuracy in processing court records and documents.
  • Familiarity with court system operations.
  • Strong attention to detail and the ability to multitask in a fast-paced environment.
  • Basic mathematical skills and understanding of legal terminology.
  • Excellent grammar, writing, and verbal communication skills.
  • Organizational skills to prioritize tasks and meet critical deadlines.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Adobe Acrobat.
  • Strong customer service skills and the ability to maintain effective working relationships with court personnel and related agencies.

Education and Experience:

A high school diploma is required, along with one to two years of general clerical or business experience. Completion of twenty semester hours of college coursework or an Associate Degree may substitute for one year of the required experience. Previous experience in a court or legal setting is preferred.

Licenses or Certificates:

The candidate must be able to obtain certification in the National Incident Management System courses (NIMS) and possess a valid driver's license.

Physical Demands and Working Conditions:

This position requires occasional lifting and carrying of items weighing over 10 pounds, along with visual acuity, speech, and hearing capabilities. The role involves manual dexterity for operating a computer keyboard and basic office equipment, with working conditions primarily in an office environment.
