Job Overview

Salary: Starting at $24/hour

Position Summary: This role is essential in supporting the Fleet and Asset Manager by overseeing and managing the operations related to ODG's fleet and facilities. The individual will ensure the effective organization of daily management and upkeep activities for all company vehicles and properties. Responsibilities encompass fleet servicing, refueling, parts oversight, automated systems management, asset tracking, routine monitoring, and reporting on assets and related functions, along with various administrative tasks.

Key Responsibilities:

  • Oversee and schedule regular service and maintenance for ODG vehicles, maintaining detailed repair logs and liaising with repair facilities and staff as necessary.
  • Coordinate manufacturer recall notifications.
  • Manage GPS system upkeep and reporting, assisting in the monitoring of electronic logging devices for ODG vehicles.
  • Administer electronic toll collection (E-Zpass) and ensure accurate reporting.
  • Organize vehicle graphics and installation timelines with designated vendors.
  • Provide assistance during vehicle breakdowns, coordinating towing and repair services.
  • Address basic building service requests (e.g., changing light bulbs) and manage maintenance coordination with service providers.
  • Collaborate with cleaning service providers to schedule work and conduct inspections post-cleaning.
  • Maintain and update records for fleet and facilities, ensuring vehicle inspection and maintenance logs are current, and prepare periodic reports on fleet repairs and maintenance.
  • Deliver fleet vehicles to various locations as required, with occasional travel up to 10%.
  • Gather motor vehicle records and coordinate with insurance representatives for processing new drivers, communicating findings to the Fleet & Building Asset Manager.
  • Develop and maintain a comprehensive database for ODG vehicles, ensuring timely coordination of service, inspections, and repairs with drivers, managers, and vendors.
  • Provide technical support and guidance to staff as needed.
  • Safely manage and oversee spare keys for fleet and facilities.

The responsibilities outlined are intended to provide a general overview of the position and are not exhaustive; additional duties may be assigned based on the needs of the business unit.

Minimum Qualifications:

  • Valid driver's license with a clean driving record.
  • High school diploma or equivalent; an associate's degree or some college education is preferred.
  • A minimum of three (3) years of relevant administrative experience, ideally in a construction or similar environment; or a combination of education and experience. Fleet management experience is advantageous.
  • Proficient in computer applications, particularly MS Office, with a strong emphasis on Excel for creating and managing spreadsheets and databases.
  • Ability to interpret and apply policies, effectively communicating these to employees and vendors.
  • Professional demeanor with the ability to maintain respectful and firm interactions with vendors.
  • Capacity to establish and sustain effective working relationships as required by job responsibilities.
  • Competence in reading and understanding various documents, including asset inventories, driving records, building plans, lease agreements, invoices, and maintenance reports.
  • Strong communication skills, including the ability to present, persuade, and negotiate effectively with colleagues and clients, maintaining composure under pressure.
  • Exceptional customer service abilities.
  • Excellent organizational and time management skills.
  • High accuracy and attention to detail in data entry and record maintenance.
  • Ability to pass a drug screening and background investigation.
  • Availability to respond to fleet or building asset emergencies after hours when necessary.
  • Act as Proxy Manager in the absence of the Fleet and Asset Manager.

Preferred Experience:

  • Experience in fleet management.
  • Associate's degree in a relevant field (e.g., business management, logistics).
  • Bilingual proficiency (English and Spanish).

Physical Requirements:

  • Ability to walk, sit, stand, bend, kneel, stretch, squat, and climb.
  • Capable of extensive sitting, standing, driving, walking, and climbing; able to lift up to 50 lbs. regularly for transporting and stocking supplies and materials.
  • Ability to bend, stoop, and climb to access materials or assist with building requests.
  • Requires substantial movements of wrists, hands, and fingers, with close visual acuity for tasks such as data analysis, transcription, and extensive reading.
  • Work primarily conducted in an office setting, with some tasks performed in warehouses and construction environments.
