Job Summary: This position provides critical support to the Fleet and Asset Manager by administering and coordinating ODG fleet and building operations. They are responsible for the efficient coordination of daily management and maintenance activities for all ODG company vehicles and buildings. Tasks include fleet maintenance, fueling, parts management, automated systems, asset management, routine monitoring and reporting on assets and related activities, and other administrative functions.

 

Primary Duties and Responsibilities:

  • Monitor and coordinate routine service and maintenance schedules and maintain repair records for ODG Vehicles. Following up with repair shops and employees as needed.
  • Manufacturer recall coordination.
  • GPS system maintenance and reporting. Assist with monitoring electronic logging devices for ODG vehicles.
  • Electronic toll collection (E-Zpass) administration and reporting.
  • Coordinate vehicle graphics and installation date with Autuko.
  • Assist with vehicle break downs and coordinating towing and repairs.
  • Assist with basic building service requests (e.g., changing lightbulbs, etc) and coordinate building maintenance with vendors.
  • Coordinate with cleaning company to schedule work, and conduct post cleaning inspections.
  • Update and maintain fleet and building records, monitor and maintain vehicle inspection and maintenance records, and ensure timely fleet asset maintenance and repairs. Prepare periodic reports from these records. Develop required monthly reports related to fleet repairs, fleet maintenance, and fleet systems.
  • Deliver fleet vehicles to employers, branch offices, dealers, and repair shops, as needed. Travel up to 10%.
  • Obtain MVR/driving history and coordinate with insurance company to process new company drivers. Communicate results to Fleet & Building Asset Manager. Maintain list of company drivers and driving record checks. Coordinate annual checks of driving records.
  • Create and maintain database for ODG vehicles: enter new vehicles in database, coordinate service, inspection and repair needs, and coordinate with drivers, managers, and vendors as needed to ensure these services are completed in a timely manner
  • Provides technical assistance and guidance to staff.
  • Safely maintain, monitor, and coordinate spare fleet and building keys.

The duties and responsibilities are intended to describe the general nature and scope of work this position performs. This is not a complete listing; other responsibilities will be assigned based on the position’s role within the business unit.

Minimum Qualifications

  • Maintain valid driver’s license with no restrictions and a satisfactory driving record
  • High school diploma or equivalent; associates degree or some college preferred.
  • Three (3) years of directly related administrative experience, preferably in a construction or related environment; or an equivalent combination of education and work experience. Fleet management experience preferred.
  • Proficient with computer software, including but not limited to MS Office, particularly Excel. Ability to create and maintain spreadsheets and databases, and run reports from that data.
  • Ability to apply and interpret policies and to explain these policies to other employees and vendors.
  • Ability to exercise professionalism, respectfulness, and firmness in frequent contact with vendors.
  • Ability to establish and maintain effective working relationships as necessitated by work assignments.
  • Ability to read department inventory of assets, driving records, building plans, lease agreements, invoices and purchase orders, utility bills, inventory reports, departmental records, insurance forms, inspection and maintenance reports, and other related reports and records.
  • Demonstrate strong communication skills including presentation, persuasion, and negotiation skills required in working with customers/coworkers, including the ability to communicate effectively and remain calm and professional under pressure.
  • Exceptional customer service skills.
  • Excellent organizational and time management skills.
  • High level of accuracy and attention to detail in data entry and record-keeping.
  • Ability to pass a drug test and background check.
  • Ability to be reached and work occasionally after hours to respond to fleet or building asset emergencies.
  • Acts as Proxy Manager in the absence to Fleet and Asset Manager in their absence.

Preferred Experience:

  • Fleet management experience.
  • Associates degree in a related field (e.g., business management, logistics, etc).
  • Bilingual (English, Spanish)

Physical Requirements include, but are not limited to the following:

  • Able to walk, sit, stand, bend, kneel, stretch, squat and climb.
  • Must be able to perform extensive sitting, standing, driving, walking, and climbing; to lift up to 50lbs. regularly to transport and stock assigned supplies and materials; to pick-up from vendors and deliver stock and materials to customers upon request, to wear personal protective equipment.
  • Must be able to bend, stoop, and climb to reach materials or assist with building requests.
  • Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
  • Work is predominantly preformed in an office environment with some work being performed in warehouses and construction sites.
