Position Summary

The role encompasses a range of routine and complex clerical and administrative tasks, providing leadership to clerical personnel and supporting the implementation of standard operating procedures within the designated department.

Key Responsibilities
  • Supervise and manage clerical staff.
  • Prepare and oversee work orders.
  • Maintain custody of departmental documents and records.
  • Establish and manage filing systems, control records, and indexes with moderate independent judgment.
  • Oversee inventory management and order office supplies; maintain personnel records for the department.
  • Coordinate departmental or divisional activities.
  • Assist with scheduling and logistics.
  • Provide backup support for other clerical roles, including payment processing and account postings.
  • Perform administrative functions for the department.
  • Engage with the public, addressing inquiries and directing them to appropriate personnel as needed.
  • Assist in procuring departmental materials and supplies.
  • Review and approve invoices for payment under supervision.
  • Complete special projects independently or as part of a team.
  • Prepare presentations for self and department staff.
  • Draft, type, and edit various documents, including correspondence, contracts, reports, and memoranda, ensuring accuracy and completeness.
  • Organize agendas and supporting materials; may take and transcribe minutes; prepare and distribute meeting minutes and reports.
  • Plan conferences and training sessions, coordinating travel arrangements for staff.
  • Prepare official records such as notices and resolutions.
  • Ensure payroll accuracy and processing.
  • Manage purchase orders and work bids for the department.
  • Generate statistical reports as required.
  • Maintain budget accounts and track expenditures.
  • Perform clerical duties, including answering phones, assisting the public, cashiering, data processing, and bookkeeping.
  • Handle incoming calls and provide information as necessary.
  • Operate office equipment as needed.
  • Process incoming and outgoing mail.
  • Input data into standard office forms; compile data for reports.
  • Schedule appointments and perform various administrative tasks.
  • Duplicate and distribute materials as required.
  • Assist the public with departmental facilities.
  • Perform additional duties as assigned.
Qualifications

Education and Experience: A high school diploma or equivalent is required, along with specialized coursework in office practices and a minimum of two years of progressively responsible experience. Equivalent combinations of education and experience will be considered.

Licenses and Certifications: A valid driver's license is mandatory.
