Job Description

PURPOSE AND SCOPE:

Under direct supervision, the Administrative Support Specialist performs standard office tasks. Typically reports to a managerial position and provides assistance to multiple individuals or departments. Responsibilities are routine and may involve repetitive tasks. Core duties may include receiving and logging information, making copies, sorting and distributing correspondence, preparing basic documents, answering standard inquiries, and ensuring a welcoming environment.

ESSENTIAL JOB FUNCTIONS:

  1. Provides administrative assistance to faculty or staff within a department.
  2. Operates various office equipment, including personal computers, printers, photocopiers, and scanners. Utilizes standard business software packages effectively, including:
    1. Word Processing: Inputs and edits standard text for routine correspondence and reports.
    2. Spreadsheets: Inputs and updates data in established spreadsheets.
    3. Databases: Enters or modifies data in existing database files.
  3. Opens, sorts, and distributes mail for one or more managers.
  4. Types and proofreads letters, memorandums, forms, and reports.
  5. Monitors and orders office supplies and materials.
  6. Answers phone calls; takes messages and/or redirects callers; may serve as the primary point of contact for the office, addressing general inquiries and resolving basic issues.
  7. Maintains and organizes departmental documents.
  8. Some positions may assist faculty with the preparation of syllabi and assessments.
  9. Responsible for other reasonable, related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong attention to detail.
  • Proficiency with common office software (e.g., Microsoft Word, Excel, and Access).
  • Excellent interpersonal and communication skills.
  • Outstanding customer service abilities.
  • Understanding of general office practices and procedures.
  • Ability to manage multiple tasks simultaneously.
  • Capacity to maintain confidentiality.

PHYSICAL ABILITIES:

The role is primarily sedentary, requiring the employee to sit comfortably while performing tasks. However, some walking, standing, bending, and carrying of light items may be necessary.

WORK SCHEDULE AND CONDITIONS:

  • Utilizes standard office equipment in a climate-controlled environment.
  • Engages with internal and external contacts as necessary to fulfill job functions.
  • Work is conducted in a safe office setting with minimal exposure to hazards.

REQUIRED QUALIFICATIONS:

  • High school diploma or GED and at least one year of relevant work experience, or an equivalent combination of education and experience.

PREFERRED QUALIFICATIONS:

  • Associate degree.
