Volt Workforce Solution is seeking a highly skilled and detail-oriented ISS Case Coordinator to join our team in Pasadena, CA. As an ISS Case Coordinator, you will play a crucial role in supporting the day-to-day operations of our International Student Services department.

Salary: The estimated annual salary for this position is $58,480 - $60,400, based on a 30-hour workweek and a hourly rate of $28-$29.

Job Description:

Key Responsibilities
  • Provide exceptional customer service to international scholars, responding to their inquiries in a professional and timely manner.
  • Screen phone calls and welcome visitors using judgment and tact to support seamless ISS operations.
  • Collaborate with ISS and campus partners to ensure accurate and up-to-date records related to international scholars.
  • Apply comprehensive knowledge of ISS practices and procedures to formulate new processes and adapt outdated ones.
  • Support IO team members in analyzing and updating processes using expertise of ISS practices and procedures.
  • Conduct I-9 verifications and reverifications expertly and professionally.
  • Coordinate ISS programming, including the monthly International Scholar Orientation and Cool Beans coffee hour.
  • Schedule appointments and meetings for ISS staff and the IO department.
  • Monitor and maintain international scholar records, synthesizing data integrity in multiple systems.
  • Act as a technical resource to the ISS team for record management and data integrity practices.
  • Create data reports to track work authorization and nonimmigrant status start dates and expiry dates for international scholars.
  • Distribute mail daily and scan tracking receipts for all outgoing mail.
  • Reconcile monthly expenditures for the ISS team.
  • Pick up checks.
  • Coordinate the creation, maintenance, scanning, and archiving of paper files and electronic records.
  • Submit facility requests and communicate outcomes to office members.
  • Monitor supplies and order office, kitchen, and program event supplies as needed.

Required Skills and Qualifications

  • Bachelor's degree
  • 1-2 years of relevant administrative and customer service experience
  • Detail-oriented, methodical, and fluent with Excel
  • Strong interpersonal skills to collaborate with ISS stakeholders
  • Strong professional communication both in writing and in person
  • Ability to prioritize multiple complex responsibilities and accomplish them simultaneously
