Position Overview
The Senior Executive Assistant role is pivotal, supporting the Vice President of Medical Affairs in Neuropsychiatry. This position entails a variety of administrative and project-oriented responsibilities, often involving high-level interactions and access to sensitive information, which requires a high degree of professionalism, discretion, and sound judgment.
Key Responsibilities:
- Manage calendars and schedule meetings, ensuring timely prioritization and organization.
- Facilitate team operations by coordinating meetings and performance reviews.
- Actively prioritize tasks based on departmental goals and business requirements.
- Comply with travel and expense policies, including arranging domestic and international travel and reconciling expenses.
- Prepare the executive for meetings by gathering necessary materials and ensuring technology is functional.
- Respond to support requests promptly, addressing issues related to IT, systems, and facilities.
- Conduct independent research on complex inquiries, providing solutions or escalating as necessary.
- Assist in planning meetings and managing logistics.
- Maintain current organizational information, including charts and directories.
- Support onboarding and offboarding processes for employees.
- Enhance professional knowledge through continuous learning opportunities.
Qualifications:
- High School diploma required; further education is a plus.
- A minimum of 8 years of administrative experience; prior experience in a similar role is preferred.
- Experience collaborating with international teams is advantageous.
- Exceptional communication and interpersonal skills.
- Ability to take initiative and adapt to changing priorities.
- Strong analytical and problem-solving skills, with a keen attention to detail.
- Proficient in Microsoft Office Suite; familiarity with BMS systems is a plus.
- Experience with Concur Travel, Ariba/SAP, SharePoint, and Workday is highly desirable.
- Demonstrated ability to work independently and collaboratively across various levels and functions.
- Capacity to manage multiple tasks and adapt to competing priorities effectively.
- A positive attitude and a commitment to high productivity.
