ESPECIALISTA EN SOPORTE ADMINISTRATIVO

Wayne Bulato HR Consulting está en búsqueda de un Especialista en Soporte Administrativo para brindar apoyo a las operaciones de oficina en un entorno dinámico.

RESUMEN:

El Especialista en Soporte Administrativo será responsable de facilitar el funcionamiento diario de la oficina, asegurando que todas las actividades se realicen de manera fluida y eficiente. Un porcentaje significativo de esta función (40% o más) se dedicará a apoyar al Departamento de Ventas, lo que incluye la entrada de datos, contacto con clientes y respuesta a solicitudes. Se requieren habilidades organizativas y de comunicación sólidas, ya que el puesto implica interacción regular con el personal, clientes y partes externas.

RESPONSABILIDADES CLAVE:

  • Realizar tareas generales de oficina, como atender llamadas, gestionar correos electrónicos y recibir visitantes.
  • Mantener el inventario de suministros de oficina y realizar pedidos según sea necesario.
  • Asistir en la preparación de informes programados regularmente.
  • Desarrollar y mantener un sistema de archivo eficiente.
  • Organizar arreglos de viaje y programar reuniones y citas.
  • Proporcionar apoyo administrativo para garantizar el funcionamiento eficiente de la oficina.
  • Realizar tareas administrativas como archivar, escribir, copiar, encuadernar y escanear.
  • Manejar información sensible de manera confidencial.
  • Coordinar procedimientos de oficina y ayudar con la planificación del diseño y los movimientos de la oficina.
  • Desarrollar y actualizar sistemas administrativos para mejorar la eficiencia.

RESPONSABILIDADES DE SOPORTE A VENTAS:

  • Ingresar y gestionar datos de ventas en sistemas CRM.
  • Contactar a los clientes para obtener información y hacer seguimiento de consultas.
  • Responder a solicitudes de clientes y proporcionar información según sea necesario.
  • Asistir al equipo de ventas en la preparación de propuestas, cotizaciones y documentos de ventas.
  • Programar y coordinar reuniones de ventas y visitas a clientes.
  • Mantener y actualizar registros de clientes y bases de datos de ventas.
  • Proporcionar apoyo administrativo al equipo de ventas para asegurar operaciones de ventas sin inconvenientes.

REQUISITOS:

  • Diploma de secundaria; educación adicional, incluyendo cursos universitarios, es un plus.
  • Experiencia comprobada en un rol administrativo o de asistente, preferiblemente con enfoque en soporte a ventas.
  • Mínimo de 5 años de experiencia en un rol administrativo.
  • Conocimiento de sistemas y procedimientos de gestión de oficina.
  • Dominio de MS Office (particularmente MS Excel, MS Word y MS Outlook).
  • Excelentes habilidades de gestión del tiempo y capacidad para priorizar tareas.
  • Atención al detalle y habilidades para resolver problemas.
  • Excelentes habilidades de comunicación escrita y verbal.
  • Fuertes habilidades organizativas con capacidad para realizar múltiples tareas.
  • Capacidad para manejar información confidencial con discreción.
  • Habilidades interpersonales sólidas y actitud orientada al cliente.
