Title and Escrow Services Representative

As a Title and Escrow Services Representative at JobTracks, Inc., you will play a critical role in facilitating real estate transactions by delivering exceptional customer service and maintaining proactive communication with both internal and external stakeholders throughout the closing process.


Key Responsibilities:

Transaction Support:
Coordinate with clients and internal teams to ensure smooth transaction execution, handling inquiries related to moderately complex processes and transactions.

Communication Management:

Monitor and respond to client inquiries via centralized inboxes, work queues, and phone lines, escalating more complex issues as necessary.


Documentation:
Prepare, review, and collect required documentation for recording conveyance deeds and other necessary legal forms.

Closing Coordination:
Schedule signing appointments, prepare closing packages, and organize final title packages for clients.

Liaison Role:

Serve as the point of contact between internal departments and external parties, resolving issues efficiently and ensuring timely responses.


Recordkeeping:
Enter accurate and detailed notes into relevant systems and maintain organized filing of documents by company procedures.

Issue Resolution:

Collaborate with internal and external teams to resolve any delays or inquiries, updating the status in the system and providing regular feedback to management.


Customer Service:
Provide exceptional customer service through consistent, proactive communication with clients, partners, and management. Identify and address any trends, issues, or challenges that may impact the business or client relationships.

Policy Adherence:
Communicate requirements to clients and use sound judgment to determine exceptions to policies when appropriate.

Call Ownership:
Take full accountability for incoming inquiries, ensuring a complete and timely resolution to all customer requests.

Quality Improvement:
Continuously work to enhance the quality of customer service to benefit both the company and clients.

Additional Duties:
Perform any other duties as assigned by management.

Required Skills & Experience:
Proven experience in Title & Escrow services and/or the Mortgage Industry.
Strong working knowledge of industry procedures and guidelines.
Ability to handle inquiries independently while working under general supervision.
Strong organizational skills with attention to detail.
Excellent communication and interpersonal skills, with a focus on customer service.
