This individual is tasked with delivering comprehensive administrative, logistical, and project support to the President and the Executive Office.

Key Responsibilities:

  • Oversees the management of information for the Executive Office, including scheduling, meetings, events, and personal engagements.
  • Facilitates the planning and organization of Board meetings.
  • Coordinates travel arrangements, both domestic and international, ensuring all logistics are efficiently handled.
  • Compiles data to optimize donor visits, creating effective itineraries and travel plans.
  • Conducts research and prepares written materials for speaking engagements, donor interactions, and leadership meetings.
  • Develops budgets for the Executive Office, including travel and communication expenses, while providing recommendations for other departments as necessary.
  • Manages communications and appointments with constituents and donors through various platforms.
  • Ensures all activities and communications within the Executive Office align with mission objectives, legal standards, and security protocols.
  • Establishes and maintains a digital archiving system.
  • Reviews and interprets memos, reports, and correspondence, distributing them to the President or other senior leaders as appropriate.
  • Represents the President or senior leadership in meetings when required, providing written summaries of discussions and follow-up actions.
  • Acts as a key information conduit while the President is traveling.
  • Utilizes discretion and sound judgment to keep the President informed about organizational culture and needs, addressing employee concerns with confidentiality and empathy.
  • Assists the President and Senior Leadership Team in navigating strategic initiatives and ensuring follow-through, delegating tasks to relevant managers and departments.
  • Engages with top donors, constituents, and key influencers to cultivate long-term, mission-supportive relationships.
  • Collaborates with various departments to create and refine official media and presentations for the Executive Office and Senior Leadership.
  • Undertakes additional duties or special projects as assigned.

Qualifications: Candidates must successfully pass a background check and meet all necessary clearances as required.

Education: A Bachelor's Degree in Business Management or a related field is required.

Experience: Prior management experience is essential, with a preference for experience supporting senior-level management. Familiarity with international travel is advantageous. Proficiency in Microsoft Office Suite is necessary, along with a willingness to embrace new technologies.
