Position: Scheduling & Training Coordinator
The Scheduling & Training Coordinator plays a crucial role in facilitating in-office training sessions for Fotona's clientele in collaboration with our Clinical trainers. This position is also responsible for providing comprehensive support to both Fotona Teams and Customers during offsite training events. Key duties include managing various administrative and logistical aspects of training coordination, engaging with internal teams and clients, preparing necessary materials for shipment, organizing accommodations and dining arrangements, and maintaining accurate records of customer attendance and certifications.
The ideal candidate will exhibit exceptional organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Strong communication skills are essential, as this role requires interaction with both internal and external stakeholders. A proactive and positive attitude is vital for fostering an environment conducive to success for all team members and clients.
Key Responsibilities:
- Efficiently coordinate scheduling of in-office training sessions with customers and clinical trainers.
- Maintain professional communication with team members, speakers, customers, and vendors through both verbal and written channels.
- Oversee the preparation, packing, shipping, and tracking of training materials and equipment for workshops and events.
- Manage Continuing Education registration logs and ensure compliance with attendance requirements.
- Monitor inventory levels of marketing and training materials.
- Submit expense reports and receipts for reimbursement in a timely manner.
- Exhibit a strong work ethic and uphold the values of integrity and professionalism.

- Competence in Office Suite applications (Outlook, Excel, Word) and familiarity with Google Docs, Smartsheets, or Salesforce is a plus.
- Fluency in English with strong written and verbal communication skills is required.
Additional Qualifications:
- Willingness to work occasional weekends and travel as necessary.
- Flexibility to work remotely and in-office as required.
- Availability for communication outside regular business hours when needed.
- Physical capability to lift and carry items up to 50 pounds regularly and more occasionally.
- Ability to perform various physical tasks throughout the day.
Education & Experience:
- A Bachelor's or Associate's degree is preferred.
- 1-2 years of relevant work experience is advantageous but not mandatory.
