Key Responsibilities

  • Oversee the CEO's calendars, meetings, and schedules, adeptly resolving conflicts and prioritizing tasks for optimal time management.
  • Communicate meeting agendas and adapt to calendar modifications as necessary.
  • Collaborate closely with team members to manage upcoming commitments and responsibilities, ensuring follow-up on organizational matters.
  • Arrange comprehensive domestic and international travel logistics for team members, including flights, accommodations, and transportation as required.
  • Prepare expense reports and manage credit card reconciliations.
  • Handle mail, invoices, purchase orders, and the execution of confidentiality and consulting agreements.
  • Coordinate logistics for special events such as team meetings, conferences, seminars, workshops, and team-building activities.
  • Engage with internal and external stakeholders with professionalism and efficiency.
  • Maintain a positive and professional demeanor with all visitors and suppliers.
  • Facilitate effective communication among team members by gathering information, providing updates, anticipating inquiries, and organizing priorities.
  • Draft and proofread correspondence, including letters, memos, and reports, while maintaining organized paper and electronic files.
  • Proactively identify and resolve issues as they arise.

Qualifications

  • Experience in a high-growth, dynamic environment is essential.
  • Proficient technical skills, particularly in MS Office Suite (PowerPoint, Word, Outlook, Excel).
  • Ability to meet deadlines and manage multiple tasks in a fast-paced setting.
  • A collaborative team player with a strong customer service focus.
  • Outstanding organizational skills coupled with excellent verbal and written communication abilities.
  • Meticulous attention to detail in all tasks.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Comfortable working with employees at all levels and skilled in conflict resolution.

Compensation

  • $105k - $110k
