Classic Westchester is a dynamic organization seeking an experienced and organized Senior Support Operations Coordinator to join our team.

Job Summary

We are looking for a highly skilled and proactive individual to provide administrative support to our President and the sales team. The ideal candidate will have excellent communication skills, be able to prioritize tasks effectively, and have experience in calendar management, expense reports, and data entry.

Duties and Responsibilities

  • Administrative Support
    • Provide administrative support to the President and sales team, including calendar management, email management, and data entry.
    • Coordinate travel arrangements, meetings, and appointments for the President and sales team.
    • Manage expense reports, maintain receipts, and ensure accurate record-keeping.
  • Communication and Liaison
    • Serve as a liaison between departments and subsidiaries, facilitating communication and ensuring smooth operations.
    • Communicate with clients, vendors, and manufacturers on behalf of the President.
  • CRM System Management
    • Create proposals in our CRM system, assign leads to sales reps, and assist the President and sales team with projects and proposals.
  • Trade Show Coordination
    • Maintain the trade show calendar, expenses spreadsheet, and lead inputting into PPS system.
    • Coordinate logistics, booth bookings, and travel arrangements for trade shows.
  • Marketing and Communications
    • Collaborate with the marketing team to maintain marketing schedules, create content, and coordinate social media posts.
    • Create weekly/monthly newsletters through Mailchimp and PowerPoint presentations.
  • Receptionist Support
    • Backup receptionist duties, including phone calls and retail responsibilities.

Requirements

To be successful in this role, you should have:

  • A minimum of 2 years of experience in administration, preferably in a similar role.
  • Excellent communication and organizational skills.
  • Proficiency in calendar management, email management, and data entry.
  • Experience with CRM systems, trade show coordination, and marketing communications.
