Reporting To: Director of Facilities and Transportation

Role Summary:
The Logistics Coordinator is essential in facilitating efficient operations by overseeing the Easterseals vehicle fleet, maintaining accurate records, and assisting with program outings utilizing Easterseals transportation resources.

Key Responsibilities:
  • Ensure compliance with state and local standards regarding the vehicle fleet and Transportation Operating Procedures (TOP).
  • Oversee the maintenance of vehicles and wheelchair lifts in accordance with manufacturer specifications.
  • Schedule and conduct all necessary inspections for vehicles and wheelchair lifts as mandated by FDOT.
  • Coordinate vehicle maintenance, including repairs, cleaning, and preventative measures based on reports from drivers.
  • Manage transportation records and documentation to adhere to local, state, and federal regulations.
  • Review daily pre-trip and post-trip inspections to ensure safety and compliance.
  • Compile and maintain trip and mileage data for the Annual Operating Report (AOR).
  • Prepare monthly transportation metrics and update the System Safety Program Plan (SSPP) and Preventative Maintenance documentation annually.
  • Assist in the development and maintenance of the Transportation Operating Procedure (TOP) in collaboration with the Director of Facilities and Transportation.
  • Conduct quarterly internal audits to ensure all documentation is up-to-date and ready for review.
  • Support the Director in organizing annual driver training and in-service sessions.
  • Maintain comprehensive records of driver training and paperwork.
  • Provide training for new drivers and ongoing retraining as necessary.
  • Perform additional duties as required.

Qualifications:
  • High school diploma or equivalent.
  • Demonstrated experience in a logistics or transportation coordination role.
  • Knowledge of safety regulations and transportation protocols in Florida.
  • CPR/First Aid certification (can be obtained upon hire).
