POSITION SUMMARY:

The Healthcare Reception Specialist acts as the initial point of contact for patients and visitors, both in-person and via telephone. This role is crucial in facilitating communication between patients and healthcare professionals, ensuring a smooth flow of operations within the medical office.

KEY RESPONSIBILITIES:

  • Welcomes all individuals entering the facility with professionalism and ensures their inquiries are addressed.
  • Collects essential patient registration details, verifies insurance coverage, prepares medical charts for appointments, and informs clinical personnel of patient arrivals.
  • Accurately processes patient documentation, collects payments, and ensures billing entries are correctly recorded.
  • Manages electronic and paper medical records, ensuring they are organized and accessible.
  • Answers incoming calls following established etiquette, relaying messages promptly.
  • Schedules and confirms patient appointments in line with office protocols.
  • Facilitates rescheduling of appointments and communicates with patients regarding any changes.
  • Distributes necessary paperwork to new patients through electronic or traditional mail.
  • Handles daily operational tasks efficiently.
  • May oversee daily reconciliation of payments and charges.
  • May assist in managing overdue reports and patient outreach initiatives.
  • Keeps the reception area and waiting room orderly and welcoming.
  • Supports other departments and participates in training sessions as required.
  • Performs additional duties as assigned.

QUALIFICATIONS:

EDUCATION: High School Diploma or equivalent; coursework in medical billing or related fields is advantageous.

EXPERIENCE: 1-2 years in a healthcare or customer service setting is preferred.

SKILLS:

  • Proficient in insurance verification and patient care protocols.
  • Excellent communication skills, both verbal and written.
  • Familiarity with electronic medical records and office software.
  • Strong organizational skills and ability to manage multiple tasks.
  • Ability to maintain confidentiality and handle sensitive information.

PHYSICAL REQUIREMENTS:

  • Frequent use of a computer and phone.
  • Ability to stand, walk, and perform light lifting as needed.
