POSITION SUMMARY:

The Healthcare Reception Specialist acts as the initial point of contact for patients and visitors, both in-person and via telephone. This role is crucial in facilitating communication between patients and healthcare professionals. The specialist is responsible for welcoming patients, guiding them through the office processes, and ensuring they receive the necessary services efficiently.

KEY RESPONSIBILITIES:

  • Warmly greets all patients and visitors, ensuring their inquiries and needs are addressed promptly.
  • Collects essential patient registration details, verifies insurance coverage, and prepares medical records in line with organizational protocols.
  • Accurately processes patient forms, collects payments, and ensures proper documentation in the billing system.
  • Manages electronic and paper medical records, ensuring timely retrieval and filing.
  • Answers phone calls following established etiquette, relaying messages and information efficiently.
  • Schedules and confirms patient appointments according to office guidelines.
  • Facilitates rescheduling and communicates with patients regarding appointment changes.
  • Distributes necessary documentation to new patients via electronic or traditional mail.
  • Maintains an organized workspace and waiting area, ensuring a welcoming environment.
  • Participates in team meetings and training sessions as required.
  • Performs additional duties as assigned by management.

ADDITIONAL FUNCTIONS:

For specialists working with diverse patient populations, additional responsibilities may include:

  • Conducting intake for patients from various backgrounds, ensuring their needs are met through appropriate scheduling and follow-up.
  • Maintaining regular communication with service coordinators and healthcare providers to facilitate patient appointments.
  • Providing translation services for non-English speaking patients, coordinating with qualified interpreters as necessary.
  • Assisting in data entry and reporting related to patient intake and service requests.

QUALIFICATIONS:

EDUCATION: High School Diploma or equivalent. Relevant coursework in medical billing or customer service is preferred.

EXPERIENCE: 1-2 years in a healthcare or customer service setting is advantageous.

SKILLS:

  • Strong communication skills, both verbal and written.
  • Proficient in using computer systems and electronic medical records.
  • Ability to manage multiple tasks and prioritize effectively.
  • Knowledge of medical terminology and insurance verification processes.
  • Capable of maintaining confidentiality and exercising discretion.

PHYSICAL REQUIREMENTS:

  • Ability to perform tasks that require prolonged periods of sitting and computer use.
