POSITION SUMMARY:
The role encompasses a range of responsibilities that facilitate the effective functioning of the Court. This includes managing the reception, documentation, and organization of legal files; providing assistance to the public; handling financial transactions; and supporting the Judge and Court operations.
KEY FUNCTIONS AND DUTIES:
General Responsibilities:
Assumes the responsibilities of the Clerk of the Court as necessary.
Guides and oversees the daily activities of junior staff members.
Conducts interviews and gathers pertinent information from the public.
Receives, documents, and organizes legal filings.
Ensures the timely scheduling of cases and hearings.
Drafts and prepares various legal documents and records.
Creates and distributes the court schedule.
Handles financial transactions, including collection and accounting.
Addresses inquiries and resolves complaints from the public.
Utilizes various office equipment, with a focus on computer systems.
Maintains regular and predictable attendance.
Performs additional related tasks as assigned.
Specific Duties for Magistrate Court Assignments:
Evaluates information from citizens to determine case eligibility for judicial review.
Drafts legal documents such as bench warrants, consent judgments, and other necessary paperwork.
Acts as case clerk during arraignments, documenting outcomes, fines, and payment plans.
Processes complaints regarding worthless checks and maintains a digital log of such cases.
Coordinates trial schedules and notifies involved parties.
Distributes the weekly court schedule to judges and staff.
Specific Duties for Juvenile Court Assignments:
Ensures all case files are prepared and accessible for judicial review.
Serves as the Traffic Court clerk, managing orders and data entry during court sessions, as well as follow-up on fines and records.
Maintains financial records for departmental transactions, including collections and disbursements.
Oversees the Purchase of Services Grant.
Submits requests for office supplies and equipment.
Assists in budget preparation and maintains records for operational budgets and inventory.
Specific Duties for Clerk of Court Assignments:
Handles filing and processing of case records for Civil and Criminal Divisions, including appeals and notary applications.
Manages the Traffic Violations Bureau, logging citations and processing payments.
Responsible for the Real Estate Division, ensuring proper filing and processing of land transaction records.
Oversees Records Management, tracking case files and managing document requests.
Manages jury selection processes, maintaining juror information and payroll.
EQUIPMENT AND TOOLS USED:
Computer, Copier, Calculator, Typewriter, CJIS Scanner, Microfilm Reader/Printer.
MINIMUM QUALIFICATIONS:
Education and Experience:
High School Diploma or G.E.D. with three years of clerical support experience, or an equivalent combination of education and experience.
Licenses and Certifications:
Background check required for Clerk of Court assignments; Security Awareness training as mandated; may require Terminal Operator Certification.
Knowledge, Skills, and Abilities:
Familiarity with business and legal English, spelling, arithmetic, and modern office practices.
Understanding of court recording and filing regulations.
Knowledge of legal terminology and the laws governing legal documentation.
Ability to type at least 35 words per minute.
Strong interpersonal skills to interact courteously with the public and officials.
Ability to follow instructions and communicate effectively.
Proficient in general computer operations and Microsoft Office applications.
Bilingual skills are advantageous.
ADA MINIMUM QUALIFICATIONS:
Physical Requirements: The role requires the ability to remain stationary, operate office machinery, and manage stress effectively. Must be able to think analytically, meet deadlines, and maintain organization.
Essential functions may require occasional movement and the ability to transport items up to 10 lbs.
Sensory Requirements: Effective verbal and written communication skills are essential.
Environmental Factors: The position requires collaboration with others or independent work.
