Job Summary

The University of Texas at Arlington is seeking a highly organized and detail-oriented Administrative Specialist to provide administrative support to the Senior Associate Vice Presidents for Research and Director. This is a full-time position that requires a strong ability to multitask, prioritize, and manage multiple projects simultaneously.

Key Responsibilities
  • Provide administrative support to the Senior Associate Vice Presidents for Research and Director, including scheduling appointments, preparing presentations, and conducting preliminary research.
  • Assist with tracking and monitoring the progress of various research projects or initiatives, ensuring deadlines are met and objectives are achieved.
  • Manage emails and correspondence, filtering important information, and drafting responses where appropriate to reduce the Senior Associate Vice Presidents and Directors administrative load.
  • Act as a point of contact between the Senior Associate Vice Presidents and Directors and other departments, colleges, internal and external partners, facilitating smooth communication and collaboration.
  • Organize travel itineraries, accommodations, and necessary documentation for research trips or conferences.
  • Oversee the processing of expense reports and budget tracking to ensure fiscal responsibility.
  • Compile and organize comprehensive briefing books for meetings, presentations, or trips, including gathering relevant research, summaries, and background information.
Requirements
  • Bachelor's degree with one (1) year upper of level secretarial experience or high school with five (5) years of increasingly responsible administrative, secretarial, and clerical experience with one year of supervisory experience.
  • Experience in Higher Education, research, or a related environment.
  • Experience with UTA policies and systems.
Working Conditions

The working space will include an office cubicle that will be near Senior Associate Vice Presidents and Director offices.
