Position Overview

Are you an organized, detail-focused individual with exceptional communication abilities and a dedication to customer satisfaction? Butler Machinery Company is seeking a Service Advisor to join our team. In this role, you will be responsible for coordinating and scheduling the time of service technicians, managing invoicing for work orders, and effectively communicating quotes, job statuses, and schedules.

Work Schedule: Monday through Thursday, 2:00 PM – 12:30 AM (CST)

Key Responsibilities:
  • Assist the Service Manager in preparing quotes, estimates, and managing service contracts for upcoming jobs in the service department.
  • Delegate jobs and work areas to Service Technicians based on their expertise and knowledge.
  • Proactively seek customer feedback, anticipate potential issues, and respond promptly to concerns.
  • Address and follow up on employee issues and inquiries.
  • Review all repair work orders for accuracy regarding parts, materials, and labor, and authorize the release of equipment for customer delivery.
  • Collaborate with the Service Manager or supervisor in all aspects of the service department, potentially stepping into the Service Manager's role in their absence.
  • Inform the Service Manager of any customer complaints.
  • Support the implementation of Contamination Control Guidelines within the team.
  • Regularly meet with the Service Manager to assess department performance, profitability, and efficiency.
  • Demonstrate technical and product knowledge on all equipment sold within the dealership's area of responsibility.
  • Adhere to all safety regulations while performing job tasks and comply with company policies and procedures as outlined in manuals and the employee handbook.
  • Maintain a professional image of Butler Machinery Company in interactions with customers and the community.
  • Engage in company-sponsored training opportunities to enhance knowledge and skills.
  • Participate in company-driven communication efforts, including customer events and departmental meetings.
  • Foster a positive and professional working relationship with colleagues, management, and support resources, emphasizing teamwork and exceptional customer service.
  • Organize, communicate, and assign responsibilities and priorities to team members to ensure the department operates successfully.
  • Provide regular feedback to recognize employee performance, motivate staff, and encourage self-development.
  • Communicate with and mentor employees on assignments, offering technical guidance as necessary.
  • Select, train, and develop employees in alignment with department and division goals, providing coaching on career advancement.
  • Promote and work within the vision, mission, and values of Butler Machinery Company.
  • Assist the heavy equipment service manager as needed.
  • Perform additional duties as assigned.
Qualifications:
  • High school diploma and/or technical school education or an equivalent combination of experience, training, and education.
  • Strong customer service skills.
  • Proficient computer skills.
  • Solid technical knowledge.
  • Excellent verbal and written communication skills.
  • Effective time management abilities.
  • Capability to handle multiple tasks simultaneously.
