Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Beacon Hill. As a key member of our support staff, you will be responsible for providing administrative assistance to our team members, ensuring the smooth operation of our office, and maintaining accurate records.

Key Responsibilities
  • Correspondence Management: Type, format, and mail correspondence via certified mail and email, ensuring timely and accurate delivery.
  • Document Review: Proofread documents for accuracy, spelling, and grammar, maintaining high standards of quality.
  • Research and Resolution: Research and resolve issues with returned mail, providing effective solutions to ensure minimal disruption.
  • Communication Support: Answer and forward telephone calls as needed, providing excellent customer service and support.
  • Workload Coordination: Coordinate workload within the team, ensuring timely completion of tasks and maintaining a productive work environment.
  • File Management: File correspondence accurately in the document management system, maintaining organized and easily accessible records.
  • Mail Routing: Route mail to appropriate recipients, ensuring timely delivery and minimizing delays.
  • Special Projects: Handle special projects and additional tasks as assigned, demonstrating flexibility and adaptability.
  • Reporting: Provide accurate information for departmental reports, ensuring data integrity and reliability.
  • Workspace Maintenance: Maintain a distraction-free workspace and reliable high-speed internet, ensuring a productive and efficient work environment.
