Job Type: Full-time

Description: VTrips is in search of a Property Care Manager to oversee the maintenance and management of a designated collection of vacation rental properties.

The Property Care Manager will be tasked with ensuring that quality assurance assessments, inventory oversight, billing, vendor coordination, and administrative tasks are executed efficiently and effectively.


Key Responsibilities:
  • Collaborate with the Client Success Manager to establish preferred communication methods for property owners in the assigned portfolio.
  • Conduct monthly quality control evaluations of the assigned properties and document findings in the management system.
  • Review and verify the completion of all new property documentation with the Client Success Manager, ensuring timely data entry into the system.
  • Build and maintain relationships with Homeowners Associations (HOAs) and community service personnel to enhance collaboration between operations and property owners.
  • Manage the onboarding and offboarding processes for properties.
  • Review monthly owner statements alongside the Client Success Manager and accounting team to ensure accuracy.
  • Act in the best interest of property owners while understanding the financial objectives of the assigned portfolio.
  • Maintain professional communication with vendors and contractors regarding scheduling, billing, insurance certificates, and other requirements.
  • Submit invoices for payment and keep detailed records related to work orders, inspections, and inventory.
  • Coordinate with the Supervisor regarding properties entering or exiting the program and execute standard protocols.
  • Ensure the availability of updated property images and continuously monitor the need for updates.
  • Establish and maintain a consistent maintenance schedule for the property portfolio, providing support to other Property Managers as necessary.
  • Promptly report any guest damages and missing items, including photos and documentation.
  • Administer the 'go-back' protocol with housekeeping staff for any guest satisfaction issues related to property conditions.
  • Take responsibility for the installation and upkeep of Wi-Fi in the units.
  • Attend meetings with supervisors and upper management as required.
  • Learn and adhere to all company, local, state, and federal safety regulations.
  • Familiarize yourself with the company's emergency preparedness plan and be available for implementation and assistance as needed.
  • Fulfill after-hours on-call responsibilities on a rotational basis.

Qualifications:
  • Proficiency with document management, databases, and spreadsheets.
  • Working knowledge of Microsoft applications.
  • Strong organizational skills with the ability to multitask and solve problems.
  • Excellent communication skills.
  • Valid driver's license, auto insurance, and reliable transportation for travel between locations.
  • Must be eligible to work in the United States and pass a background screening.
  • Ability to work a variable schedule, including weekends, holidays, and on-call shifts as assigned.

Physical/Mental/Environmental Demands:
  • Sitting - 30%, Walking/Standing - 70%. Required to stoop, bend, stretch, twist, and reach.
  • Regularly lift up to 25 lbs.
  • Must be able to talk or hear.
  • Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Ability to organize, multitask, and solve problems.
  • Combination of indoor and outdoor workspaces.

Salary: $43,888.00
