Job Summary

We are seeking a highly organized and detail-oriented Human Resources Assistant to join our team at Placon. The successful candidate will provide administrative support to the HR department, ensuring the smooth operation of our HR functions.

Key Responsibilities
  • Provide receptionist services for the HR team, responding to inquiries and directing calls to the appropriate team member.
  • Assist with pre-employment recruiting, including conducting employment tests, scheduling drug screens and background checks, and managing HR mailboxes.
  • Closing new hire and termination paperwork into HRIS, maintaining accurate records and ensuring compliance with company policies.
  • Coordinate department meetings, take minutes, and distribute action plans.
  • Conduct motor vehicle checks annually, schedule HR quarterly meetings, and prepare new hire orientations.
  • Manage company organizational charts, update monthly, and assist with training program coordination and maintenance of training records.
  • Provide event coordination assistance, distribute departmental mail, and maintain up-to-date filing systems.
  • Manage company t-shirt process, cups, and new hire gifts, and conduct I-9 audits.
  • Coordinate employee locker coordination process, distribute and order service awards, and coordinate memorials and gift baskets.
  • Assist with safety administration, including processing safety shoe/glasses, tool reimbursements, and scheduling Safety Committee Meetings.
  • Issue security access cards and maintain security access system data.
Requirements
  • Associate's degree in Administrative Assistant or related field preferred and 3 years of experience in a highly responsible administrative role; or 5 years of experience in a highly administrative role, preferably in a manufacturing office environment.
  • Strong computer proficiency, including Microsoft Office Suite, HRIS, and Timekeeping system.
  • Effective oral and written communication skills, excellent interpersonal skills, and high level of detail orientation.
  • Strong project management skills, customer focus, and ability to lead with inspiration and accountability.
Work Environment

Inside: Office and occasional work/exposure in our production environment.

Equipment/Tools Used

Personal computer, fax, phone, calculator, copy machine, Microsoft Office Suite, C-Cure, I-Solved.

Physical Requirements

Light work (lift 10 lbs): Occasional - Miscellaneous office supplies and equipment.

Mental Requirements

Reading, writing, calculation, interpersonal interaction skills, reasoning/analysis, works effectively with minimal supervision, ability to resolve conflict, management multiple priorities and maintain strict confidentiality of information.
