Job Title: Staff Services Officer III

The Texas Department of Aging & Disability Services is seeking a highly skilled and detail-oriented Staff Services Officer III to join our team. In this role, you will provide administrative support to our Specialty Health (SH) department, working closely with section managers and staff to ensure the smooth operation of various staff services functions.


Key Responsibilities:
  • Operate electronic mail systems for multiple programs, distributing emails accordingly and maintaining confidentiality when reviewing sensitive information.
  • Perform administrative tasks, including filing, maintaining office supplies, document editing, and handling general inquiries.
  • Assist with or respond to administrative time-sensitive requests and assignments, ensuring timely completion of tasks.
  • Maintain scheduling and event calendars, reserving conference and meeting rooms for all programs and teams in SH.
  • Compile materials for meetings, webinars, and trainings, serving as a meeting facilitator and point of contact for external groups.
  • Support in taking meeting minutes and communicating meeting information, attending meetings and/or trainings for administrative team and contributing to overall effectiveness.
  • Assist with preparing and tracking procurement requests for SH, processing purchase orders, and coordinating and monitoring expenditures.
  • Participate in the new employee onboarding process to ensure administrative, IT, and HR tasks are met within appropriate time frames.

Requirements:
  • Knowledge of agency programs, policies, and procedures, as well as fiscal or budgeting techniques and practices.
  • Skills in coordinating activities, using a computer and applicable software, and critical thinking.
  • Ability to study and evaluate programs, propose recommendations, interpret and apply agency policies and procedures, analyze and solve work problems, communicate effectively, and provide guidance to others.
  • Ability to handle high-level and high-volume administrative tasks and challenges, further a culture of positivity within the workforce, analyze and solve work-related problems, communicate effectively with peers and leadership staff, distribute assignments to administrative staff to ensure efficiencies, and manage multiple tasks, work under pressure, and meet short deadlines.
