Job Summary:
We are seeking a highly skilled and detail-oriented Staff Services Officer III to join our team at the Texas Department of Aging & Disability Services. This is a challenging and rewarding role that requires strong administrative skills, excellent communication abilities, and a passion for delivering exceptional support to our programs.

Key Responsibilities:
Administrative Support (35%):
• Operate electronic mail systems for multiple programs, ensuring timely and accurate distribution of emails.
• Maintain confidentiality when reviewing sensitive and private information.
• Perform administrative tasks for all programs, including filing, maintaining office supplies, and handling general inquiries.
• Assist with or respond to administrative time-sensitive requests and assignments.
• Coordinate with staff on disposal of records according to the agency retention schedule.

Scheduling and Event Coordination (35%):
• Maintain scheduling and event calendars, ensuring seamless coordination of meetings and events.
• Reserve conference and meeting rooms for all programs and teams.
• Compile materials for meetings, webinars, and conferences.
• Serve as meeting facilitator and point of contact for external groups.

Procurement and Operations (20%):
• Assist with preparing and tracking procurement requests for SH, processing purchase orders, and coordinating expenditures.
• Analyze current operations to determine the need for improvements in work systems and procedures.
• Plan, develop, and implement procedures to assist the Unit in maintaining effective business practices and daily operations.

Human Resources and Onboarding (5%):
• Assist with the hiring process, including coordinating with hiring panels and scheduling applicant interviews.
• Participate in the new employee onboarding process to ensure administrative, IT, and HR tasks are met within appropriate time frames.

Program Activities and Meetings (5%):
• Participate or perform in program activities, meetings, and projects as assigned.

Requirements:
• Knowledge of agency programs, policies, and procedures.
• Skill in coordinating activities, using a computer and applicable software, and critical thinking.
• Ability to study and evaluate programs and propose recommendations, to interpret and apply agency policies and procedures, to analyze and solve work problems, to communicate effectively, and to provide guidance to others.
• Ability to handle high-level and high-volume administrative tasks and challenges.
• Ability to further a culture of positivity within the workforce.
• Ability to analyze and solve work-related problems.
• Ability to communicate effectively with peers and leadership staff.
• Ability to distribute assignments to administrative staff to ensure efficiencies.
• Ability to manage multiple tasks, work under pressure, and meet short deadlines.
