Goodwill of Central & Northern Arizona is seeking an Office Operations Coordinator to join our team. The successful candidate will be responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency.

Key Responsibilities:

  • Greets visitors, provides information, and routes visitors to the appropriate party.
  • Answers phones and provides information about the school or directs calls to the appropriate party.
  • Checks voicemail and responds to messages in a timely manner.
  • Manages departmental relationships to coordinate work orders in security, housekeeping, and maintenance.
  • Coordinates event planning, including vendor evaluation and selection within budgetary constraints.
  • Identifies vendors, evaluates services and costs, and makes business recommendations.
  • Collects and distributes mail daily, orders, maintains, and tracks inventory of office equipment, supplies, and business cards.
  • Creates and maintains a Team Member directory and The Excel Center campus activity calendar.
  • Assists with new student orientation.
  • Ensures the student information system is accurate and up-to-date.
  • Assists with student and Team Member scheduling.
  • Responsible for student reception support, including hiring, mentoring, and training.
  • Coordinates and conducts center tours for the community.
  • Explains district procedures to parents, teachers, classified employees, and the public.
  • Provides training, assigns, and monitors the work of staff, student helpers, and volunteers.
  • Maintains and troubleshoots office equipment as necessary.
  • Establishes and maintains confidential files.
  • Independently responds to routine letters, emails, and general correspondence.
  • Responsible for performing and/or delegating correct record keeping of student enrollment preparation and/or maintenance of the confidential student folder and all required records contained therein.
  • Maintains and updates student and staff emergency information.
  • Maintains information on and answers questions regarding specific school programs, fund raisers, and after-school activities.
  • Maintains site use of facilities, records, and calendars for after-school activities by community groups.
  • Composes school-wide communications, correspondence, and various bulletins, newsletters, memos, emails, requisitions, forms, and updates the school master calendars.
  • Maintains control of school facility keys, assigns, and distributes keys to certificated and classified staff as necessary.

Requirements:

  • High School or 5 years of equivalent experience, with 3-5 years of office management experience; Associate's degree or Certified Office Manager preferred.
  • Bilingual Spanish language skills strongly desired.
  • Demonstrates a high degree of professionalism and a willingness to make a good first impression.
  • Flexible, adaptable, and embraces change.
  • Demonstrates empathy in difficult situations and uses discretion in sharing information.
  • Effective at multitasking, and flexible and adaptable to changing work priorities and schedules.
  • Ability to gather and analyze data to make informed decisions.
  • Ability to pass a background check, fingerprint clearance, and drug screen.
