Job Overview:

The Facilities Operations Specialist plays a crucial role in supporting the facility management team to effectively address and fulfill client facility requirements.

Key Responsibilities:

  • Address client inquiries and concerns promptly.
  • Ensure high-quality service delivery to clients in a timely manner.
  • Follow up with clients to guarantee satisfaction with services rendered.
  • Create and assign work orders to various technicians, subcontractors, and vendors.
  • Communicate work orders to technicians and assist management in troubleshooting issues.
  • Generate reports on both open and closed work orders, checking status with the relevant technician or vendor.
  • Maintain organized files for work orders, proposals, and departmental documentation.
  • Create and verify vendor files, ensuring accuracy in completed paperwork submitted by vendors.
  • Provide training to vendors on work order and billing processes.
  • Process invoices while ensuring accurate cost center coding.
  • Assist with inspections across the facility campus.
  • Utilize PC and/or PDA for work order systems, email, and training purposes.
  • Support process and procedure training initiatives.
  • Perform additional duties as assigned.

Qualifications:

  • A minimum of two years of relevant experience or training in facilities coordination.
  • A high school diploma or equivalent (GED) is required.

Additional Skills:

  • Proficient in Microsoft Office Outlook.
  • Physical capabilities include the ability to stoop, stand, walk, climb stairs and ladders, and lift and carry loads of 50 lbs. or more.
