Receivables Management Specialist

Location: Schertz, TX

Salary: Targeting around $60,000 - $65,000

Reports to: VP, Finance

Key Responsibilities:

The successful candidate will possess a degree in accounting and have approximately 5 years of relevant experience. The primary role of the Receivables Management Specialist is to collaborate closely with both the finance and sales departments to ensure the achievement of the company’s financial objectives.

Responsibilities Include:

  • Overseeing the accounts receivable department to guarantee timely completion of all tasks.
  • Preparing, verifying, and processing invoices related to machine sales and rentals.
  • Conducting research and managing the extension of credit.
  • Establishing and maintaining customer accounts, including billing and payment terms.
  • Issuing and dispatching invoices to customers promptly and following up on outstanding payments.
  • Leading collection efforts and filing liens against customer jobs for unpaid machine invoices.
  • Formulating and executing collection strategies to ensure timely payments and resolving any disputes.
  • Monitoring customer accounts to identify potential issues or delinquencies and taking appropriate actions to mitigate risks.
  • Collaborating with the sales team to ensure customer accounts are accurate and up-to-date.
  • Preparing regular reports on accounts receivable, providing analysis and recommendations to senior management.
  • Reconciling operating account cash balances daily with the Accounting System General Ledger Balance.
  • Conducting daily audits of sales charged on all processed invoices.
  • Maintaining the Machine Department Asset Database on a daily basis.
  • Tracking the receipt of new equipment for sale and rental.
  • Ensuring compliance with accounting policies, procedures, and internal controls.
  • Building and maintaining relationships with key customers and external stakeholders.
  • Managing the recordkeeping of invoices, bills, and deposits.

Qualifications:

  • Bachelor’s degree in accounting, finance, or a related field.
  • 5+ years of experience in accounts receivable management, ideally in a dynamic environment.
  • Exceptional communication, interpersonal, and customer service skills.
  • Strong analytical and technical problem-solving abilities, with effective oral and written communication skills.
  • Ability to work independently.
