Job Title: Executive Assistant

Hogan Lovells US LLP is seeking a highly skilled and experienced Executive Assistant to provide exceptional administrative support to senior-level leadership. The ideal candidate will possess a strong attention to detail, excellent communication skills, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:
  • Maintain calendars, contact information, and other pertinent details for senior-level leadership.
  • Provide exceptional customer service and support to Partners, Board Members, and Senior Tiers of leadership.
  • Coordinate travel arrangements, prepare expense reports, and ensure timely payment of vendor invoices.
  • Prepare and edit documents, including memos, correspondence, and pleadings, using the firm's established document processing methods and procedures.
  • Organize and maintain administrative and client files, ensuring confidentiality and accuracy.
  • Record, review, edit, and close time entries through the web-based time entry program, adhering to firm standards.
  • Manage monthly client billing, review and edit billing proformas, and distribute to fee-earners for review.
  • Respond to customer/client requests in a skilled and timely manner, interacting effectively with clients, attorneys, supervisors, and business professionals.
Requirements:
  • 7+ years of previous administrative assistant or executive assistant experience required.
  • 2-5 years of law firm experience preferred.
  • Law firm or related experience strongly desired, preferably in a large firm or large company environment.
  • College degree preferred, but not required.
