Role Overview:
Administrative Responsibilities:
Collaborates with leadership to optimize daily patient flow.
Engages in team meetings to enhance operational efficiency.
Welcomes patients and visitors, managing calls and directing them to the appropriate personnel.
Handles all patient communication needs, including scheduling and appointment reminders.
Verifies patient insurance details, including pre-certifications and authorizations, and inputs data into relevant systems.
Records and processes patient charges accurately.
Ensures charge verification and reconciliation as instructed, compiles monthly patient feedback data, and submits necessary documentation to providers.
Organizes new patient records, maintains existing files, and conducts regular checks for completeness.
Coordinates ancillary testing with other departments.
Arranges patient transportation as required.
Maintains office and medical supplies as necessary.
Clinical Responsibilities:
Under the supervision of the RN/Provider, delivers wound care in accordance with Basic Life Support (BLS) protocols and hospital policies.
Assists in vein clinic operations post-training completion.
May support patient intake and discharge processes within the defined scope of practice.
Collects patient information and prepares necessary equipment for clinical staff.
Reports any quality of care concerns to the Clinical Nurse Manager.
May perform duties related to hyperbaric oxygen therapy after completing required training.
Communicates effectively with team members regarding patient care interventions.
May serve as a Documentation Assistant in line with established policies.
Performs additional tasks as needed.
Reporting Structure:
Reports to the Clinical Nurse Manager and Program Director.
Qualifications:
Education:
- High School Diploma or GED; Associate's degree preferred
- Completion of a Medical Assistant program accredited by CAAHEP or ABHES, or current Medical or AZ Certified Nursing Assistant certification
- Preferred experience includes six months in an acute care or rehabilitation setting and two years in office administration, ideally within a medical context
- Prior experience in medical coding is advantageous
Essential Skills:
Critical thinking, decisive judgment, and the ability to work independently are essential. Must thrive in a fast-paced environment and respond appropriately to challenges.
- Basic Life Support (BLS) certification required
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong customer service and communication skills, both verbal and written
- Excellent organizational and time-management abilities
- Typing speed of 60 words per minute
- Basic mathematical skills and attention to detail
- Commitment to confidentiality and teamwork
