Woodhaven Residential Treatment Center, a leader in voluntary adult alcohol and drug treatment services, is seeking a dedicated and experienced HR Operations Specialist. In this role, you will be essential in managing HR functions and supporting the Human Resources Division's operations. We are looking for a high-energy, employee-focused individual who is adaptable—adaptability is the key skill we are seeking for this role.

Key Responsibilities:
  • Payroll Management: Oversee and execute payroll processes efficiently and accurately.
  • Employee Onboarding: Facilitate all onboarding procedures from the release of the onboarding packet until all tasks are completed.
  • Background Checks: Review candidate drug screening results, print and file documents, and verify new hire licenses, including NPI when applicable.
  • Provider Number Management: Apply for new Medicaid provider numbers, complete revalidations, and manage changes related to provider numbers.
  • Tracking and Reporting: Maintain various trackers (e.g., CPR planner, department planner), background tracking spreadsheet, and binder.
  • Termination Processing: Pull files, follow up via email, and update necessary records in the HR system.
  • Verification and Audits: Handle verifications of employment, I-9 audits, provider audits, and attendance line management.
  • HR System Administration: Provide training for supervisors on the HR system and act as the HR representative for accreditation body reporting.
  • Salary Adjustments: Process salary change forms and update employee information in the HR system.
  • Drug Screening: Conduct and follow up on drug screens as needed.
  • Monthly Reporting: Send birthday and anniversary reports, file completion reports, and update training trackers.
  • Billing and Training Management: Oversee billing for training programs and report to continuing education systems.
  • Compliance Management: Manage alerts for certifications and licenses, maintain employee files, and assist with retirement plan enrollment.
  • Disciplinary Support: Assist with disciplinary processes, suspensions, and terminations as approved.
  • Insurance Liaison: Act as the primary point of contact for professional liability insurance and review HR invoices for errors.
  • Additional Duties: Perform other responsibilities as assigned or directed.
