The Administrative Support Specialist will report directly to the Director of Support Services. This full-time role requires a flexible schedule, including weekend rotations. The specialist will manage incoming calls through the switchboard and assist visitors to the facility. As the first point of contact, you will play a crucial role in welcoming clients and guests. Additionally, you will oversee safety protocols, including monitoring emergency systems and communicating alerts as necessary.

Under the guidance of the Director of Support Services, you will have limited autonomy to exercise initiative and independent judgment.

Key Responsibilities:

Maintain regular attendance and may be required to adhere to a specific shift schedule, including potential rotating shifts, extended hours, and/or overtime in accordance with agency policies while performing other assigned duties.

Manage incoming calls through the switchboard to assist clients and visitors in a professional and timely manner.


Monitor emergency alarm systems and make necessary announcements to ensure the safety of patients, staff, and visitors.

Provide assistance to visitors, patients, and family members, directing them to appropriate locations while ensuring confidentiality and safety.


Participate in all mandatory training to meet agency and facility requirements, maintain job competencies, and foster professional development.

Additional responsibilities may include actively participating in or supporting the agency's disaster response and/or recovery efforts or Continuity of Operations (COOP) activation, which may require alternate shift assignments or locations.


Required Knowledge, Skills, and Abilities:
Familiarity with administrative, clerical, and data entry procedures and systems.

Proficiency in operating a telephone switchboard.

Ability to effectively transfer incoming calls and greet and direct visitors.

Strong communication skills.
