Job Summary

Crowned Grace, Inc is seeking an experienced Event/Meeting Planner with an active Public Trust or higher clearance to join our team. The ideal candidate will have a strong background in event planning, with a focus on organizing complex events from conception to completion.

Key Responsibilities
  • Assist in site surveys and gather information to aid in the evaluation and selection of hotel facilities.
  • Manage hotel rooming lists and assist in the development and management of conference budgets.
  • Build websites, databases, and forms to support event planning and execution.
  • Design and create event materials, including attendee packages, evaluation forms, and nametags.
  • Assist with vendor management and interact with client contracts.
  • Coordinate speakers and develop invitations in coordination with the Government PM.
  • Provide online or onsite registration support, room activity monitoring, and arrangements for recording and distribution of event content.
  • Coordinate guest speakers and supporting booth equipment, handouts, and signage.
  • Maintain a network of contacts in government agencies, think tanks, and SMEs.
  • Provide event planning, design, and production, and manage project delivery elements within established time limits.
  • Communicate effectively with diverse audiences, including staff members, committee chairs, and vendors.
  • Lead the development and coordination of meetings, conferences, and webinars.
  • Assist with day-to-day administration, including processing meeting registrations and coordinating logistics.
Requirements
  • Possess an active Public Trust or higher clearance.
  • 5+ years of relevant experience with CMP or CGMP certification.
  • Earned the Certified Meeting Professional (CMP) designation or Certified Government Meeting Professional (CGMP) designation.
  • Demonstrated competence in all aspects of meeting/event planning.
  • Ability to plan, manage, and execute conferences and events effectively.
  • Bachelor's degree in event management or related field preferred.
  • Experience in providing logistical support for meetings of 10-1000 participants.
  • Strong project management skills and ability to work well in teams.
Knowledge, Skills, and Abilities
  • Excellent written and verbal communication and customer service skills.
  • Excellent skills using ZOOM and Microsoft Teams.
  • Excellent PC skills and highly proficient in MS Office Suite.
  • Ability to work nights, weekends, and holidays if necessary.
  • Ability to work independently and as a team member.
  • Ability to handle a large, complex workload and coordinate multiple resources.
  • Knowledge and skill in applying analytical and evaluation methods and techniques.
  • Knowledge of military rank and protocol.
  • Ability to handle controversial situations with tact and diplomacy.
  • Ability to demonstrate respect and sensitivity for cultural differences.
