Job Summary

The Clinical Business Operations Representative is responsible for facilitating the prompt resolution of problems related to pre and post care that arise in daily clinical operations. This role performs general administrative and receptionist functions, including answering incoming calls, managing patient flow, and acquiring necessary patient care and records.

Key Responsibilities
  • Utilize electronic medical systems to verify patient appointments, enter lab results, medical records, referrals, and medical notes.
  • Provide clinical support to clinical faculty in daily activities related to faculty members and advanced registered nurse practitioners.
  • Verify insurance information and inform patients of any inaccuracies, directing them to financial assessments as needed.
  • Follow patient appointment guidelines, including overbooking approval.
  • Cancel and reschedule appointments based on patient and/or doctor's requests, adjusting clinics for doctors on vacation or days off.
  • Ensure all outside medical records are attached to clinic census on the day of the appointment.
  • Prepare doctor clinic census at least 7 business days in advance for assigned physicians.
  • Obtain consent for Medical Records Information upon request from other facilities.
  • Fibro scan results are scanned and emailed to corresponding physicians.
Department-Specific Functions
  • Greet visitors, clinic patients, and callers, handle patient inquiries, and direct them to the appropriate persons according to their needs.
  • Obtain or review patient demographic information to effectively schedule patient appointments for the Rapid Access Wellness Center in UChart.
  • Assist in maintaining and updating the Rapid Access Wellness Center Epic schedule.
  • Answer all phone calls, provide information to callers, or connect them to appropriate clinical staff and navigation team.
  • Assist in Patient Assistance enrollment for specialty medications.
  • Contact patients as directed by physicians/providers when necessary, notify medical providers via email and phone of urgent patient matters, and follow up promptly.
  • Advises front desk personnel of patient cancellations and no-show reports to maintain daily schedule.
  • Monitor clinic email and cellphone text message exchanges.
  • Send all patients scheduled appointment reminders daily and prepare a daily schedule for providers on call.
  • Schedule patient follow-up appointments via UChart.
  • Work cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the Rapid Access Wellness Center.
  • Maintain patient confidentiality and adhere to University and unit-level policies and procedures, safeguarding University assets.
Qualifications
  • High school diploma or equivalent.
  • Previous experience not required.
  • Skill in data entry with minimal errors.
  • Ability to communicate effectively in both oral and written form.
  • Ability to work evenings, nights, and weekends as necessary.
  • Skill in collecting, organizing, and analyzing data.
  • Ability to work independently and/or in a collaborative environment.
