Job Summary

We are seeking a highly organized and motivated Executive Support Specialist to provide comprehensive administrative support to our executives. The ideal candidate will have excellent judgment and high confidentiality in a variety of situations, with strong written and verbal communication, administrative, and organizational skills.

Key ResponsibilitiesCalendar Management
  • Efficiently manage the COO's and CEO's calendar, including scheduling appointments, meetings, and conferences.
  • Prioritize and coordinate daily activities to optimize the COO's and CEO's time.
Email Management
  • Monitor and manage the COO's and CEO's email inbox, responding to or redirecting messages as appropriate.
  • Prioritize and filter emails to ensure timely responses.
Employee Engagement
  • Plan and organize employee engagement activities, including team-building events and celebrations.
  • Foster a positive workplace culture through various initiatives.
Travel Coordination
  • Arrange travel for the COO and CEO.
  • Manage itineraries, accommodations, and transportation logistics.
Event Coordination
  • Coordinate and organize corporate events, conferences, and meetings.
  • Collaborate with internal and external stakeholders to ensure seamless event execution.
Confidentiality
  • Handle sensitive and confidential information with the utmost discretion.
  • Maintain a high level of professionalism in all interactions.
Administrative Support
  • Provide general administrative support to the COO and CEO, including drafting correspondence, managing files, and handling phone calls.
  • Assist with special projects and initiatives as needed.
Requirements
  • Proven experience as an executive assistant or similar role.
  • Strong organizational and multitasking skills with meticulous attention to detail.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Previous experience in event planning and coordination is a plus.
  • A proactive and solution-oriented mindset.
