Job Requirements:

Education

A high school diploma or GED is mandatory.

Experience

A minimum of 3 years in an administrative role is essential.

Demonstrated proficiency in time management and organizational skills is required, with the capability to handle multiple projects under tight deadlines while maintaining meticulous attention to detail.

Strong interpersonal, verbal, and written communication skills are necessary.

Proficiency in Microsoft Office applications, including Word, Outlook, and Excel, is required.

Experience in the non-profit sector is preferred.

Any combination of education, training, and experience that equips the candidate with the necessary knowledge, skills, and abilities to perform the essential functions of this role may be considered.

Essential Functions:

Facilitate the collection of goods by community partners directly from donors.

Manage all necessary documentation to ensure prompt collection of goods.

Request and coordinate the acquisition of bill of lading documents and verification forms from community partners.

Support the Corporate Products & Procurement department by providing or collecting information to expedite the direct ship donation process.

Input all required data into the database regarding direct ship donations, product collection by community partners, and partner relations.

Determine and confirm the date for product collection from community partners.

Engage with community partners to provide information in response to inquiries about donated products and address any complaints.

Maintain records of interactions and transactions with community partners, documenting details of inquiries, complaints, and actions taken.

Generate various reports and ensure accurate data entry in the AS400 system.

Act as the primary liaison with Feed the Children Community Partners when consigning products from the Distribution Center.

Monitor inventory levels daily in conjunction with meeting scorecard objectives.

Utilize phone, email, and fax to communicate with Feed the Children Community Partners on a daily basis.

Employ the Distribution Center Positional List to allocate products fairly and equitably.

Oversee the overall inventory of pallets in assigned distribution centers to achieve monthly departmental goals, including product movement and shipping targets.

Ensure distribution centers maintain buffer stock inventory levels for Food, Hygiene, Avon, and Disaster Relief Boxes.

Prepare and present shipping reports as requested by various departments within Feed the Children.

Collaborate with event staff, distribution centers, partner agencies, and FTC Transportation to draft shipping proposals for truck drops as necessary.

Assist in maintaining electronic records up to date regarding all domestic events and support reporting efforts.

Cross-train with other roles within the Logistics and Inventory Management (LIM) Department.

Participate in various Feed the Children committees representing the LIM Department, which may include the Workplace Campaign or Safety Committees.

Assist the Director with special projects and perform additional job functions as required within the LIM department.

Prepare all truck sponsorship documentation, detailing arrangements with donors/agencies prior to events or food drops, ensuring necessary information is communicated across multiple departments.

Coordinate all logistical setup activities with the relevant nonprofit for events/projects before their occurrence and confirm event details for major donor and special project representatives.

Conduct follow-up activities with appropriate nonprofits post-events to ensure successful execution and address any concerns.

Maintain consistent attendance and punctuality, which are critical for completing day-to-day responsibilities.

Ensure adherence to all relevant regulations and laws; uphold accountability standards.
