Key Responsibilities

Lead to Contract Responsibilities:

  • Support loan originators in scheduling appointments with potential and existing clients.
  • Ensure timely follow-up on new leads within 20 minutes, aiming for a 35% conversion rate from lead to appointment.
  • Provide administrative assistance by managing various client databases (lead tracker, MyCircle, Zillow, etc.) and sending online pre-qualification links to new clients on behalf of the originator.
  • Prepare web applications and assist with administrative tasks, including updating credit reports and AUS findings for licensed team members.
  • Coordinate and confirm appointments for the originator while managing their calendar effectively.
  • Send thank-you notes to referral sources and new clients as a gesture of appreciation.
  • Act as a liaison for clients and referral sources, keeping them informed throughout the loan process while adhering to Guild's SAFE Act and Consumer Privacy policies.
  • Conduct credit checks on loans assigned to the originator.
  • Request status updates from pre-approved clients and referral sources through scheduled calls.
  • Reach out to expired pre-approved clients to collect necessary documentation for updating pre-approval letters.
  • Assist in marketing efforts by coordinating, creating, obtaining compliance approval, tracking, and distributing promotional materials as required.
  • Oversee monthly compliance-approved email marketing campaigns directed at real estate agents.
Additional Responsibilities:
  • In accordance with Guild's SAFE Act policy, gather supporting documentation from clients to facilitate pre-approval processes.
  • Maintain relationships with referral sources through prompt responses and exceptional customer service.
  • Stay informed about company-approved programs and software systems; implement and execute new systems for the team and clients.
  • Address customer inquiries regarding active loans and loan application statuses.
  • Provide clerical and administrative support as needed.
  • In compliance with company policy and investor guidelines, this role does not involve submitting documents to underwriting or assisting borrowers with application completion or document explanations.
  • Serve as the primary point of contact for clients, ensuring they are informed throughout the loan process.
  • Assist the originator in obtaining accurate and thorough loan applications.
  • Analyze clients' credit and financial situations to recommend suitable loan products.
  • Price loans according to Guild's policies and communicate fees to the operations team.
  • Discuss product features with clients.
Qualifications:
  • High school diploma or equivalent preferred, with at least one year of experience in mortgage lending or a related field.
  • No active MLO licensing is required.
  • Ability to manage multiple tasks with strong attention to detail and organizational skills.
  • Exhibit a sense of urgency and responsiveness in all tasks.
  • Commitment to delivering exceptional customer service.
  • Demonstrated patience and professionalism in interactions with both internal and external stakeholders.
  • Proficiency in data entry, PDF software, Microsoft Word, and Excel is essential.
  • Strong verbal and written communication skills, along with basic math skills.
  • Ethical approach with a commitment to company values.
Supervision:
  • No direct or indirect reports.
  • Utilizes low levels of independent judgment and discretion in decision-making; executes standard job responsibilities with minor variations and escalates complex issues for guidance.
