POSITION SUMMARY:
The Medical Records Administrative Assistant is responsible for the organization and management of patient documentation and clerical tasks as necessary. This role ensures the accurate upkeep of patient files and adheres to the protocols for information dissemination.
Efficiently organizes and retrieves medical documentation, ensuring files are maintained for quick access.
Prepares laboratory shipments and manages results documentation. Utilizes electronic health record systems for data inquiries, input, and report generation. Handles phone communications and welcomes visitors and patients, assisting with appointment scheduling.KEY RESPONSIBILITIES:
Manage telephone communications and direct calls appropriately.
Oversee and distribute incoming correspondence, including emails and postal mail.
Welcome visitors and patients, guiding them to the correct location or personnel as necessary.
Maintain an inventory of facility supplies, restocking as required, including ordering uniforms and identification tags.
Compile and uphold medical records for both in-center and home patients in accordance with company policies and regulatory standards.
Store or dispose of outdated files following the guidelines set by the Compliance Records Management department and in line with applicable regulations.
Coordinate accounts receivable and payable tasks, including generating purchase orders, receiving, and scanning relevant documents, and supporting travel reimbursements as needed.
Package items for shipment and ensure they are directed to the appropriate laboratory.
Assist in gathering data for facility reports, such as Continuous Quality Improvement reports and documentation for comorbid conditions.
Participate in auditing medical records to ensure compliance with standards.
Maintain accurate records of hospitalizations, patient travel, etc., to facilitate scheduling and ancillary testing.
Prepare medical records for faxing or mailing related to travel, transplant, disability, and other purposes.
Organize travel arrangements for patients by contacting and providing requested medical records.
Coordinate transient patient documentation.
Manage transfer placements and confirmations in collaboration with the Clinical Manager.
Ensure admissions paperwork is completed and forwarded to the appropriate departments, such as billing, by collecting, faxing, and scanning.
Assist with referrals and scheduling for medical appointments.
Support transportation coordination and referrals.
Scan relevant medical records into the Document Imaging program as necessary.
Ensure data entry is completed for government reporting requirements.
Additional responsibilities may include:
Prepare and draft routine correspondence and reports.
Establish and maintain filing systems and basic databases as needed.
Complete forms and reports required by various company offices and external agencies.
Manage the facility calendar and daily schedule, including arranging meetings and appointments for staff and patients.
Document meeting minutes and provide necessary documentation.
Make copies of correspondence and other documents as required.
Assist with various basic personnel and administrative tasks as needed.
Act as a backup for other clerical staff when necessary.
Process blood samples according to laboratory specifications after collection.
Support laboratory workflow processes.
Enter laboratory results into the electronic database.
Responsibilities may focus on specific departments or locations as outlined in applicable addenda.
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
The physical demands and characteristics of the work environment described here are representative of those encountered while performing the essential functions of this position.
Daily tasks include desk work and interaction with patients, facility staff, and physicians. The role may require travel between assigned facilities and various community locations. Attendance at regional, Business Unit, and Corporate meetings may also be necessary.
The work environment is typical of a healthcare facility, featuring controlled air temperature and moderate noise levels. There may be exposure to infectious and contagious materials.
EDUCATION AND EXPERIENCE:
A High School Diploma is required.
SKILLS REQUIRED:
0 - 1 year of relevant experience.
Proficient computer skills, particularly in word processing applications.
Strong communication skills, both verbal and written.
