Administrative Support Specialist

We are seeking a highly organized and detail-oriented Administrative Clerk to join our team at Wood, Smith, Henning & Berman LLP in Denver (Highlands Ranch). This is a full-time, onsite position Monday-Friday.
Key Responsibilities:- Manage documents, files, and e-filing processes to ensure seamless operations.
- Assist with trial preparation, including creating trial binders and making copies.
- Provide administrative support to attorneys and staff, ensuring timely completion of tasks.
- Greet clients and guests professionally, maintaining a positive and welcoming atmosphere.
- Replenish office supplies and maintain a clean and organized workspace.
- Process incoming and outgoing mail, ensuring accuracy and efficiency.
- Scan, copy, and save documents, maintaining a secure and organized digital archive.
- Assist with document management and physical file organization, ensuring easy access to critical information.
- Set up and tear down conference rooms for depositions and meetings, ensuring a seamless experience.
- Interact with maintenance crews and vendors when the Office Administrator is unavailable.
- Order office supplies through Staples, ensuring timely delivery and cost-effectiveness.
- Process invoices and maintain an accurate invoice matrix, ensuring timely payment and compliance.
- Retrieve documents for attorneys and staff, ensuring prompt and accurate delivery.
- Assist paralegals with processing medical records and radiology imaging, maintaining confidentiality and accuracy.
- Download and save deposition transcripts and court documents, ensuring secure and organized storage.
- Copy CD/DVDs of imaging, medical records, and pleadings for distribution, maintaining a secure and organized digital archive.
- Assist with voluminous mailings, ensuring timely and accurate delivery.
- Proficient in MS Office (specifically, MS Word, MS Excel, and Outlook).
- A self-starter with excellent organizational skills, able to prioritize tasks and manage multiple responsibilities.
- A team player with a positive attitude, excellent communication skills, and a professional demeanor.
- Reliable and responsible, with a strong work ethic and ability to work in a fast-paced environment.
- Flexible and open-minded, with the ability to adapt to changing priorities and deadlines.
- Ability to operate standard office equipment, including a computer, photocopier, postage machine, and scanner.
- Excellent communication skills, both verbal and written, with the ability to work effectively with colleagues and clients.
- Ability to work 8:00 a.m. – 5:00 p.m. Monday – Friday, with exceptional attendance and a strong commitment to meeting deadlines.
