Overview:
The City of Anaheim is in search of a dedicated Administrative Assistant Intern to engage in a range of foundational professional administrative tasks. This role is designed to evolve in complexity and responsibility as the intern gains practical experience related to the operational, technological, and engineering functions of the department.


KEY CHARACTERISTICS:
Administrative Assistant Interns undertake professional administrative responsibilities of an introductory nature, paving the way for future career opportunities.

Assignments will focus on the evaluation of systems and procedures, organizational management, workflow optimization, and efficiency enhancement.

Tasks are clearly defined and subject to ongoing assessment regarding progress and outcomes.

As the intern develops skills, they will be entrusted with a wider array of more challenging responsibilities, performed under general oversight.

Essential Responsibilities:
The following duties are typical for this classification.

Interns may not perform all listed tasks and may be required to undertake additional or different responsibilities to meet business needs.

Conduct a variety of entry-level administrative tasks related to regulations, policies, processes, systems, reports, surveys, and forms, while acquiring knowledge of the fundamental mission and operations of the assigned department.

Assist with traffic engineering assessments, including field surveys and data collection; analyze and modify signal timings to alleviate traffic congestion.

Engage in analytical studies by performing routine research, identifying samples, and compiling data in well-defined areas related to administrative regulations and procedures.

Utilize basic statistical and management analysis techniques, or with guidance, apply advanced methods in data analysis.
Support the creation of instructions, procedures, guides, and manuals aimed at enhancing administrative, technological, and operational systems.

Investigate issues, discrepancies, and respond to routine inquiries concerning the department's business and operational activities.

Effectively leverage standard office software applications, including data management, spreadsheets, presentations, and word processing, to complete assigned projects.

Prepare reports, presentations, operational documents, and correspondence that contain descriptive, analytical, and evaluative content related to business and operational activities, subject to review by senior staff.

May assist in updating website content and provide suggestions for information layout.

May perform a variety of technical and clerical tasks during peak workload periods or in the absence of assigned personnel.

May conduct fieldwork.
Perform related duties and responsibilities as necessary.
Qualifications:
Education:

Current enrollment in upper division or graduate-level courses in an accredited college or university program; coursework in civil engineering, computer science, electrical engineering, transportation engineering, business administration, or communications is preferred.


Knowledge:

Basic principles of organization and management; capabilities of standard computer systems and software; methods and techniques of research and management analysis; elementary statistics; data collection techniques; proper business English, punctuation, spelling, and grammar; customer service techniques for public interaction.


Skills:

Ability to gather relevant facts and data, conduct thorough analyses, and draw sound conclusions; apply formulas for statistical measures; understand and apply relevant laws, rules, and regulations; effectively utilize standard office software and equipment; provide technical assistance; collaborate effectively with colleagues and the public; prepare and present reports in various formats; learn and utilize specialized software related to assigned functions; work independently and meet deadlines; manage multiple tasks while being detail-oriented and organized.


License/Certification:
Possession of a valid driver's license may be required for certain positions.
Additional Information:
This is a part-time role typically averaging 20 hours per week. A minimum number of hours is not guaranteed.
