Position Summary:

The Tax team is in search of a Tax Operations Coordinator to oversee administrative and operational responsibilities, ensuring efficient workflows through precise data entry and processing. The ideal candidate is a self-driven, detail-oriented, and organized individual who excels in data management, possesses strong communication abilities, and is comfortable with technology. A background in tax preparation is preferred. The successful candidate will appreciate the importance of teamwork and be adaptable in supporting various team members as needed.

Key Responsibilities:

  • Proficient in Excel, Adobe, and Google Suite, with a willingness to learn new software tools.
  • Engage with clients via phone and email, building strong relationships with Uplinq Tax customers to ensure a positive experience. Capable of addressing concerns from dissatisfied clients and directing them to the appropriate tax team member.
  • Collaborate effectively with the Tax Onboarding Specialist to meet with clients and collect necessary documentation for quarterly and annual filings. Address client inquiries and resolve issues with the support of the Tax Onboarding Specialist.
  • Work closely with tax preparers to identify required information from clients and communicate effectively to gather this data.
  • Maintain accurate customer profiles by documenting communications, taking meeting notes, creating profiles for new clients in Uplinq's Airtable software, and preparing tax engagement letters.
  • Skilled in data organization and management, including:
    • Converting financial statements from PDF to Excel using Adobe Acrobat.
    • Preparing finalized returns by downloading them from Drake and modifying PDFs to include necessary logos and signatures.
    • Implementing a standardized filing system for organized document management.
    • Creating folders and managing file uploads and downloads via Sharefile.
    • Collecting and organizing customer documentation, ensuring files are stored correctly and notifying tax team members as needed.
  • Assist in gathering data from the Accounting team, including retrieving prior year returns provided to Uplinq Bookkeeping and uploading them to the tax filing system, as well as downloading financial reports from Uplinq Bookkeeping for tax filing purposes.
  • Support the Tax team with additional tasks, such as scheduling meetings and generating reports:
    • Coordinate meetings for the Vice President of Tax and the Tax Onboarding Specialist as required.
    • Generate financial reports in QuickBooks Online as necessary.
    • Complete reasonable compensation reports and ensure client agreement on the amounts.
