Job Summary

The TRIO SSS Administrative Assistant will provide administrative support to the TRIO SSS Program at Illinois Central College. This role requires a friendly and professional demeanor, with the ability to maintain confidentiality and work independently.

Key Responsibilities

  • Assist with preparing team meetings, reports, and other materials
  • Complete the Department of Education Annual Performance Report
  • Gather, compile, and maintain files related to program budget, students, and programming
  • Schedule appointments and maintain schedules on Microsoft Outlook
  • Process financial transactions, including reconciliations and reimbursements
  • Provide customer assistance and serve as the front-line representative of the department
  • Maintain student sign-in/out records and plan travel for staff and students
  • Assist with coordinating special events and help hire, train, and supervise student workers
  • Maintain program databases and perform related duties

Requirements

  • High school diploma or equivalent with 3 or more years of administrative or customer service experience
  • Proficient in Microsoft Office Suite and ability to type a minimum of 35 words per minute
  • Ability to organize work, prioritize tasks, and maintain confidentiality
  • Ability to communicate effectively verbally and in writing
  • Ability to work with diverse populations and maintain professionalism

Preferred Qualifications

  • Associate's degree in business or related field
  • Experience in an educational system and knowledge of accounting and business principles
  • Knowledge of PeopleSoft and ability to work with diverse populations
